Job Summary
We are seeking an energetic and detail-oriented 8am-4pm Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and support office management tasks with efficiency and professionalism. Your positive attitude, excellent organizational skills, and ability to multitask will help create a smooth and inviting environment for clients, staff, and guests alike. Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
  • Answer multi-line phone systems promptly, professionally, and courteously, directing calls or taking messages as needed.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and attention to detail.
  • Maintain organized systems—both digital and physical—and perform data entry tasks efficiently using computer literacy skills.
  • Support office management duties such as supply inventory, photocopying, proofreading documents, and maintaining cleanliness of the reception area.
  • Provide customer support by addressing inquiries with excellent phone etiquette and offering assistance in multiple languages if bilingual skills are available.
  • Coordinate with team members to ensure smooth daily operations, including managing schedules and handling administrative requests promptly.

Requirements

  • Proven office experience or clerical experience in a fast-paced environment is preferred.
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Exceptional phone etiquette with experience managing multi-line phone systems.
  • Bilingual abilities are a plus to assist diverse clients and visitors.
  • Demonstrated customer service skills with a friendly demeanor and professional attitude.
  • Ability to handle confidential information discreetly while maintaining accuracy in record-keeping.
  • Experience in medical or dental receptionist roles is advantageous but not required; relevant personal assistant experience is also valued.
  • Strong typing skills along with attention to detail for proofreading documents and managing correspondence efficiently.
