We’re seeking a highly organized and proactive Executive Assistant to support our executive team and ensure smooth daily operations in our headquarters.

About the Role

This position combines high-level executive support with hands-on administrative responsibilities. The ideal candidate is detail-oriented, reliable, and comfortable juggling priorities—someone who thrives in a fast-paced, team-oriented environment and takes initiative to keep things running efficiently.

Key Responsibilities

  • Provide day-to-day administrative support to executive leadership and department heads
  • Manage calendars, scheduling, emails, and travel arrangements
  • Prepare and format correspondence, reports, meeting notes, and presentations
  • Assist with HR tasks including onboarding, training coordination, and maintaining employee files
  • Support office management—ordering supplies, coordinating vendors, organizing workspace logistics
  • Track company deadlines, key project milestones, and leadership priorities
  • Assist with event planning, company meetings, and internal communications
  • Maintain confidential information with professionalism and discretion
  • Help coordinate invoices, purchase orders, and expense reports as needed
  • Jump in where needed—helping the team stay organized, accountable, and efficient

Qualifications

  • 3 years of experience as an executive assistant, administrative assistant, or similar role
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft 365 (Outlook, Excel, Word, Teams)
  • Strong attention to detail and ability to anticipate needs
  • Professional, dependable, and comfortable working in a construction or industrial setting

Preferred

  • Experience supporting executives or managers in construction, engineering, or related fields
  • Accounting background is a plus
