Position Overview:
The Billing Coordinator is responsible for preparing, reviewing, and processing client invoices, ensuring compliance with firm policies and client guidelines. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities.
Key Responsibilities:
· Prepare, review, edit, and finalize pre-bills and invoices including narrative edits, write‑offs, rate adjustments, and formatting corrections.
· Monitor unbilled time, accounts receivable, and ensure compliance with attorney instructions and client billing guidelines.
- Edit and adjust pre-bills based on attorney instructions
- Ensure compliance with client billing guidelines and deadlines
· Maintain accurate documentation of billing arrangements, client instructions, timekeeper data, and rate structures.
· Assist with write-offs, accrual reporting, and special billing projects as needed.
· Coordinate with attorneys, legal assistants, and collections teams to resolve billing inquiries or discrepancies.
· Generate and distribute monthly invoices according to attorney preferences.
· Entering new client/matter information into the system performing conflict checks and setting up file folders.
· Reviewing file documentation, ensuring trust balances are zero, archiving digital/physical records.
· Post client expenses and deposits
Qualifications:
- Prior billing experience preferred but not required
- Proficiency in Microsoft Excel and legal billing software
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to work independently and as part of a team
- Ability to prioritize tasks and meet deadlines
- 3-5 years of experience preferred
