Job Summary
The Payroll Administrator is responsible for accurately processing employee compensation, ensuring compliance with all federal, state, and local regulations, and maintaining payroll records. This role supports employees by answering payroll-related questions and works closely with HR and Finance to ensure smooth payroll operations.
Key Responsibilities
- Collect, review, and maintain daily and weekly timecards for field crews using Teams.
- Enter, audit, and correct time records in Vista Web, ensuring proper job, cost code, and pay code assignments.
- Ensure all time data is submitted and approved in accordance with weekly payroll deadlines.
- Process payroll for all employees on a weekly, bi-weekly, or monthly schedule
- Communicate with field supervisors, project managers, and employees regarding timekeeping discrepancies and corrections.
- Calculate wages, overtime, bonuses, commissions, deductions, and adjustments
- Ensure compliance with federal, state, and local payroll laws and tax regulations
- Prepare and submit payroll tax filings and reports
- Maintain accurate payroll records and employee data
- Manage direct deposit setup and changes
- Process garnishments, benefits deductions, and retirement contributions
- Reconcile payroll reports and general ledger accounts
- Respond to employee payroll inquiries in a timely and professional manner
- Assist with year-end processing including W-2s and tax reconciliation
- Support audits and internal reviews
- Maintain confidentiality and data security
Qualifications & Skills
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred
- 2 years of experience in payroll timekeeping, payroll, or HR support in a construction environment preferred
- Proficiency in payroll software such as Vista by Viewpoint, Spectrum, or Sage Timberline
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to handle sensitive information confidentially
- Strong communication and customer service skills
- Strong knowledge of payroll laws and regulations
- Proficient in Microsoft Excel (VLOOKUP/XLOOKUP, pivot tables a plus)
Preferred Certifications (Optional)
- CPP – Certified Payroll Professional
