The Client Services Representative is the steady, welcoming presence that makes clients feel that commitment from the very first phone call through the life of their case — patient, proactive, and genuinely invested in making every person feel like they're our only client.
This role sits at the intersection of client relationship management, onboarding, and administrative production support, and is essential to the smooth day-to-day operation of our Tempe office.
What You'll Do
Client Relationship & Concierge
- Serve as a dedicated point of contact for clients throughout their case, conducting regular check-in calls to ensure clients feel informed, supported, and connected
- Proactively confirm clients have current contact information for detained family members and understand how to stay in communication
- Respond to client inquiries with patience, professionalism, and a commitment to going above and beyond
Onboarding Support
- Lead new client onboarding meetings, including verifying and entering all client data accurately into firm systems
- Walk new clients through the client portal — guiding them through setup and ensuring they're comfortable using it
- Deliver the firm's financial policies and payment expectations in a clear, approachable way so clients understand their obligations from day one
Sales & Collections Support
- Support the intake and sales process by following up with prospective clients and facilitating a smooth transition from consultation to retained client
- Assist with accounts receivable by making courteous, professional outreach to clients regarding law firm policies around outstanding balances and automatic payments
Reception & Administrative Production
- Provide reception desk coverage as needed for the Tempe office, creating a welcoming first impression for all visitors and callers
- Support the legal production team with administrative tasks including document data entry, and case management system upkeep
What We're Looking For
- 1–3 years of experience in client services, customer relations, legal administration, or a related field
- Bilingual in English and Spanish — required; you'll regularly serve clients whose primary language is Spanish
- Exceptional interpersonal skills — warm, professional, and genuinely service-oriented
- Strong organizational skills and attention to detail, especially when managing client data
- Comfortable having difficult conversations (payment plan conversations & rules re: automatic payments, case status uncertainty) with empathy and professionalism
- Experience with legal case management software or CRM platforms is a plus
- Ability to work independently and as part of a collaborative team in a fast-paced legal environment
