Summary of Position
The Great Outdoors Foundation seeks a highly organized, detail-oriented professional to serve as our Database & Grants Management Coordinator. This position supports the Foundation’s development and operational efficiency by maintaining our CRM systems, managing grant and donor data, producing reports, and improving processes for data accuracy and accountability.
The ideal candidate is a data-savvy problem solver with experience in CRM administration (preferably Bloomerang), strong Excel and reporting skills, and a knack for building efficient systems that support fundraising, grant management, and organizational impact tracking. This position will report to the Director of Operations.
Key Responsibilities:
Database and CRM Management
- Maintain and enhance the donor and partner databases (Bloomerang and other systems) in accordance with nonprofit best practices.
- Input, code, and reconcile donations, pledges, and grants while ensuring accuracy and timely acknowledgment.
- Manage segmentation, queries, and dashboards to support donor stewardship, grant reporting, and communications.
- Create and maintain standardized reporting templates for leadership and board use.
- Conduct routine database audits and process improvements to ensure data integrity and consistency.
Grants Management
- Track grant deadlines, deliverables, and reporting requirements.
- Maintain grant pipeline and performance tracking across programs.
- Assist with data collection and financial documentation for grant proposals and reports.
- Collaborate with Development and Accounting teams to align narrative and financial grant reporting.
Financial and Reporting Support
- Work with the Operations and Accounting team to manage accounts receivable and reconcile contributions across platforms.
- Generate reports and data analysis to support fundraising, budgeting, and operational decision-making.
- Support annual audits through database documentation and revenue verification.
Administrative and Process Improvement
- Assist in developing and documenting standard operating procedures for CRM and grants management.
- Provide general administrative support to the Development and Operations teams, including donor mailings, pledge reminders, and event support.
- Contribute to internal data-driven initiatives to streamline processes and enhance organizational performance.
Qualifications:
- 2 years of experience managing nonprofit databases or CRM systems (Bloomerang, Salesforce, Little Green Light, etc.).
- Familiarity with grant tracking or grants management software is a strong plus.
- Proficiency in Microsoft Excel, including formulas, pivot tables, and data visualization.
- Excellent attention to detail, organization, and follow-through.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment
- A proactive, collaborative team player who values accuracy and efficiency.
- Basic accounting or reconciliation experience preferred. Initiative and ability to work independently— self-starter.
- Ability to maintain confidentiality.
- Ability to build and maintain collaborative and effective relationships with donors, volunteers, board members, staff, vendors, and partner organizations.
- Experience in Asana a plus.
Education and Experience:
Associate or bachelor’s degree in business administration, data analytics, nonprofit management, or related field preferred.
