Job Description: Office Administrator/Bookkeeper
Overview
We are seeking a detail-oriented and organized Office Administrator/Bookkeeper to join our team. This role combines administrative support with data entry and bookkeeping tasks, requiring proficiency in QuickBooks Online. The ideal candidate will be highly organized, efficient, and capable of handling sensitive financial information with accuracy and confidentiality.
Responsibilities
Administrative Support:
- Manage office correspondence, including emails, phone calls, and scheduling appointments.
- Organize and maintain physical and digital filing systems.
- Prepare reports, memos, and other documents as needed.
- Coordinate meetings, including booking rooms and arranging necessary materials.
- Assist with general office tasks, such as ordering supplies and managing office equipment.
Data Entry and Bookkeeping:
- Accurately input financial data into QuickBooks Online, including invoices, expenses, credit card charges, and payments.
- Process accounts payable and receivable transactions.
- Assist with payroll processing and ensure timely submission of employee hours.
- Maintain accurate and up-to-date financial records.
Additional Duties:
- Collaborate with the Controller to ensure compliance with company policies and procedures.
- Handle sensitive information with discretion and maintain confidentiality.
- Perform other administrative and accounting tasks as assigned.
Qualifications
Required:
- High school diploma or equivalent; associate’s or bachelor’s degree in accounting, business administration, or related field preferred.
- Proven proficiency in QuickBooks Online (certification is a plus).
- Strong data entry skills with a high level of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time-management skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality of sensitive financial and business information.
Preferred:
- 2-4 years of experience in administrative support and/or data entry bookkeeping.
- Familiarity with additional accounting software or tools.
- Experience with payroll processing and accounts payable/receivable processing.
Work Environment
- Full-time position, Monday through Friday, with occasional flexibility for overtime as needed.
- Office-based role with potential for hybrid work arrangements after initial training period.
