POSITION SUMMARY
The Workers’ Compensation, Leaves & Benefits Specialist is responsible for managing the full lifecycle of workers’ compensation claims, return-to-work and light-duty programs, leave administration (FMLA, ADA, WC, disability, personal leave), and benefits administration. This position ensures compliance, timely communication, accurate documentation, and alignment between HR, the Risk Manager, and Safety Team.
The Specialist serves as the employee-facing and compliance-driven owner of all WC and leave cases, ensures accurate benefits coordination, and directly supports injury-related investigations and OSHA reporting.
KEY RESPONSIBILITIES
Workers’ Compensation Case Management
- Serve as the primary point of contact for all WC claims and injured employees.
- File First Reports of Injury and coordinate with insurance carriers and TPAs.
- Review accident and incident reports for accuracy and completeness.
- Conduct employee interviews, gather statements, and complete HR-facing investigation documentation.
- Track medical care, restrictions, follow-up appointments, and lost time.
- Coordinate Return-to-Work and light-duty assignments, including managing partnerships with external light-duty providers.
- Communicate with adjusters on medical updates, compensability, restrictions, and case progress.
- Maintain OSHA 300, 300A, and 301 logs and ensure OSHA compliance.
- Prepare WC and OSHA-related reports for HR and Risk.
- Provide after-hours communication support on a defined, rotational, or emergency-response basis.
Leave Administration
- Manage all leaves of absence including WC, FMLA, ADA, STD/LTD, and company leaves.
- Ensure timely issuance of all legally-required notices and documentation.
- Oversee ADA interactive process and coordinate necessary accommodations.
- Maintain accurate leave tracking, timelines, and return-to-work compliance.
- Communicate leave status updates to employees, managers, and stakeholders.
- Coordinate benefits eligibility, premium payments, and leave-related adjustments.
Benefits Administration
- Support benefits enrollment, QLEs, and employee eligibility reviews.
- Assist with benefits billing, auditing, and reconciliation.
- Coordinate benefits continuation during leaves and WC periods.
- Support Open Enrollment activities.
- Liaise with benefits vendors to resolve issues and improve employee experience.
Safety, Risk & Compliance Collaboration
- Work closely with the Risk Manager to:
- Review injury trends
- Align return-to-work timelines
- Improve reporting and case-handling outcomes
- Partner with Safety Managers on documentation needs and regulatory support.
- Assist in promoting awareness of FMCSA, DOT, OSHA, and safety policies from the employee/HR perspective.
- Maintain updated knowledge of WC laws, FMLA, ADA, FMCSR, DOT, state and federal regulations.
Employee Support
- Provide clear, timely communication to employees regarding WC, leave rights, benefits eligibility, and return-to-work expectations.
- Verify previous employment history for drivers, addressing gaps in coordination with Safety.
- Maintain strict confidentiality for all medical and injury-related information.
QUALIFICATIONS
- 5 years of workers’ compensation case management and leave administration experience required
- Strong experience with return-to-work programs and modified/light-duty coordination
- Knowledge of FMLA, ADA, WC regulations, OSHA requirements, FMCSA/DOT standards
- Prior experience working with TPAs and insurance carriers
- Strong documentation, organization, and case tracking skills
- Excellent communication and employee support ability
- HRIS, benefits system, or claim management software experience preferred
- Transportation/logistics or safety-sensitive industry experience strongly preferred
Compensation and Benefits:
Pay Range: $70,000 – $80,000 per year, commensurate with experience, plus bonus potential based on performance.
