Enterprise Information Governance & Document Management Project Manager

Position Overview
We are seeking an experienced Enterprise Information Governance & Document Management Project Manager to lead a strategic initiative focused on modernizing document management, records governance, and collaboration platforms across the organization.
This individual will be responsible for managing the full project lifecycle, including discovery, solution evaluation, governance design, implementation oversight, migration coordination, stakeholder engagement, user adoption, training, and operational transition. The project will involve platforms such as Microsoft 365, SharePoint Online, OneDrive, Box Enterprise, Microsoft Purview, and related information governance technologies.
The ideal candidate possesses a strong blend of project leadership, information governance expertise, records management knowledge, and enterprise collaboration platform experience. This is a delivery-focused role responsible for driving execution while ensuring governance standards, compliance requirements, and long-term operational sustainability are successfully established.
Key Responsibilities
Project Leadership & Delivery
- Lead the enterprise document management and information governance initiative from planning through operational transition.
- Develop and manage project plans, schedules, milestones, risks, dependencies, and status reporting.
- Coordinate activities across IT, Legal, Compliance, Records Management, Information Security, and business stakeholders.
- Facilitate steering committee meetings, project workshops, executive updates, and stakeholder communications.
- Manage project budgets, vendor deliverables, implementation timelines, and issue resolution activities.
- Escalate risks, governance concerns, and implementation challenges as appropriate.
Information Governance & Records Management
- Partner with Records Management, Compliance, Legal, and business leaders to define governance requirements.
- Establish and document:
- Information governance frameworks
- Records retention policies
- Content lifecycle management procedures
- Metadata and taxonomy standards
- Information architecture guidelines
- Permission and sharing models
- Document classification standards
- Support implementation of retention schedules, retention labels, disposition policies, and governance controls.
- Assist in defining ownership, stewardship, and long-term governance responsibilities.
Platform Modernization & Implementation
- Coordinate implementation and configuration activities involving:
- Microsoft 365
- SharePoint Online
- OneDrive
- Box Enterprise
- Microsoft Purview
- Related governance and compliance solutions
- Collaborate with technical teams and implementation partners to ensure governance requirements are incorporated into solution design.
- Support repository consolidation and modernization efforts across multiple content platforms.
Migration & Content Remediation
- Lead document migration planning and execution activities.
- Coordinate content cleanup, archive remediation, duplicate content reduction, and repository rationalization efforts.
- Support data validation, testing, and post-migration stabilization activities.
- Ensure governance requirements are maintained throughout migration and transformation efforts.
Vendor & Stakeholder Management
- Serve as the primary liaison between internal teams and external implementation partners.
- Coordinate activities with Microsoft, Box, consulting partners, and third-party vendors.
- Monitor project deliverables, milestones, and service commitments.
- Ensure alignment between project objectives, governance requirements, and implementation activities.
Change Management, Training & Adoption
- Develop communication plans, governance documentation, training materials, and operational procedures.
- Lead user adoption and organizational change management activities.
- Conduct workshops and training sessions for administrators, Records Management personnel, and business users.
- Promote adoption of governance standards and new operating procedures.
Operational Transition & Knowledge Transfer
- Develop long-term support models and operational procedures.
- Coordinate transition of ownership and administration to internal Records Management and Governance teams.
- Ensure documentation, governance processes, support procedures, and training materials are complete and sustainable.
- Support post-implementation stabilization and operational readiness activities.
