Responsibilities

- Support the planning and coordination of events, including venue setup, catering arrangements, and guest management.
- Manage vendor relationships, negotiate contracts, and oversee service agreements to ensure quality standards are met.
- Handle guest inquiries with professionalism, providing exceptional customer service before, during, and after events.
- Assist with budgeting and expense tracking to ensure events stay within financial parameters.
- Coordinate logistics such as transportation, accommodations, and equipment rentals as needed.
- Support upselling opportunities by promoting additional services or packages to clients during the event planning process.
- Contribute to event promotion through social media marketing, email campaigns, and other outreach efforts.
- Oversee on-site event operations to ensure smooth execution and troubleshoot any issues that arise during events.
- Maintain organized records of contracts, vendor contacts, schedules, and other relevant documentation.
Requirements
- Proven experience or background in event marketing, event planning, hospitality, or related fields such as restaurant or hotel experience.
- Strong negotiation skills with vendors and clients to secure favorable terms.
- Excellent communication skills—both verbal and written—to liaise effectively with clients, vendors, and team members.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously under tight deadlines.
- Experience in banquet management, catering coordination, or fundraising is a plus.
- Knowledge of contracts, budgeting processes, and guest services best practices.
- Ability to work independently as well as part of a team in fast-paced environments.
- Time management skills that enable efficient prioritization of responsibilities during busy periods.
