Job Summary:
The Onboarding Coordinator is responsible for managing and executing the onboarding process for new drivers within a fast-paced freight logistics environment. This role ensures all employees, particularly operations staff, drivers, and warehouse personnel, are efficiently onboarded, compliant with company and regulatory requirements, and set up for success. The Coordinator partners with HR, Operations, Safety, and Recruiting teams to deliver a smooth and timely onboarding experience while ensuring all driver qualification and road test requirements are met.
Key Responsibilities:
- Coordinate end-to-end onboarding for new hires, including scheduling orientations and processing new hire documentation.
- Ensure compliance with DOT, safety, and company-specific onboarding requirements.
- Manage onboarding systems and maintain accurate employee records.
- Facilitate communication between Recruiting, HR, Payroll, Safety, and Operations teams to ensure readiness for start dates.
- Track onboarding progress and ensure completion of required documents (I-9, W-4, direct deposit, policies, etc.).
- Support drug testing, background checks, MVR reviews, and credential verification as needed.
- Conduct and document DOT-compliant road tests for all new driver hires and evaluate driver competency, safety awareness, and vehicle operation skills prior to final onboarding approval.
- Maintain driver qualification files and ensure all required onboarding and compliance documentation is completed and properly retained.
- Facilitate new hire orientation and training coordination.
- Monitor onboarding timelines and escalate delays or compliance issues.
- Serve as a point of contact for onboarding-related questions and provide a positive new hire experience.
- Continuously improve onboarding processes for efficiency, compliance, and operational effectiveness.
Qualifications:
- 1 years of experience in onboarding, training, HR coordination, recruiting coordination, logistics administration, or a related field.
- Experience in freight, transportation, trucking, or warehouse environments preferred.
- Familiarity with Tenstreet, HRIS platforms, and driver qualification file management preferred.
- Ability to conduct and document driver road tests and assess driver qualifications in accordance with DOT and company standards.
- Strong organizational skills and attention to detail.
- Ability to manage high-volume onboarding in a fast-paced environment.
- Working knowledge of DOT regulations, driver qualification requirements, and transportation compliance preferred.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and Google Workspace (including Gmail, Google Docs, and Calendar).
Physical Requirements
- Ability to sit, stand, walk, and use a computer for extended periods.
- Ability to enter and exit commercial vehicles and safely conduct road tests as required.
- Occasional travel between company locations may be required.
