Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Handle multi-line phone systems, screen calls, take messages, and transfer calls efficiently
- Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools
- Support calendar management by scheduling appointments, meetings, and coordinating events with precision
- Perform data entry tasks with accuracy, including invoicing, bookkeeping using QuickBooks, and updating client records
- Assist with clerical duties such as proofreading documents, preparing correspondence, and managing office supplies inventory
- Provide exceptional customer support via phone or in person, addressing inquiries promptly and professionally
- Support office management tasks including organizing files, managing incoming/outgoing mail, and ensuring a tidy workspace
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and basic data entry tasks
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong computer literacy, typing skills, and attention to detail for proofreading and document management
- Prior experience as a dental or medical receptionist or personal assistant is a plus
