Job Summary
Go-Glass Joy, LLC is seeking a detail-oriented and dependable HR & Accounting Specialist to support the daily operations of our Administration Office. This role is responsible for supporting core accounting functions, including Accounts Payable and Accounts Receivable activities, while also providing administrative support across human resources functions as needed.
This position is best suited for someone who is highly organized, proactive, and comfortable working independently in a fast-paced, deadline-driven environment. The ideal candidate demonstrates strong attention to detail, maintains confidentiality, and can effectively manage multiple priorities. Experience with QuickBooks Online (QBO) and strong proficiency in Microsoft Excel are required.
Education & Experience
- High School Diploma required
- 2 years of experience in accounting, accounts payable/receivable, administrative support, or HR administration preferred
- QuickBooks Online (QBO) experience required
- Strong Microsoft Excel skills required (formulas, data organization, and reconciliation)
- HRIS experience preferred (ADP Workforce Now strongly preferred)
- Strong organizational, time management, and attention to detail skills
Key Responsibilities
Accounting Support (Primary Focus)
- Manage Accounts Payable processes, including invoice entry, coding, approvals, and payment processing
- Review and code vendor invoices, including employee benefits-related expenses, overhead and inventory expenses, ensuring accurate allocation to the appropriate locations, departments, or cost centers
- Prepare and execute payment runs (ACH, check, and credit card) in accordance with company schedules
- Maintain vendor records, including W-9s, and vendor setup documentation
- Monitor AP aging and ensure timely resolution of outstanding items
- Support Accounts Receivable processes as needed
- Reconcile customer accounts and assist in resolving discrepancies
- Maintain accurate accounting records in QuickBooks Online and internal systems
- Review work orders and invoices for accuracy prior to processing
- Assist with reconciliations and general accounting support
- Manage and maintain accounting-related email inboxes
- Maintain organized and accurate financial records and filing systems
Human Resources Administrative Support
- Assist with onboarding processes, including offer letters, background checks, and new hire documentation
- Maintain employee records and ensure HRIS data accuracy
- Support recruitment administration, including resume review, interview coordination, and candidate tracking
- Assist employees with HRIS access, onboarding tasks, and general HR-related inquiries
Benefits Administration Support
- Maintain and assist with employee benefits administration, including enrollments, changes, and employee communications
- Coordinate 401(k), HSA, and other benefit enrollments and updates
- Support annual open enrollment processes and benefit meetings
- Maintain accurate benefit records and assist with reporting (including census support)
- Serve as a point of contact for basic employee benefit questions and vendor coordination.
General Office & Department Support
- Provide additional accounting, HR, and administrative support as needed based on the priorities of the Director of Accounting & HR
- Support internal reporting and administrative requests
- Support cross-functional teams with administrative needs as required
- Maintain confidentiality and integrity of sensitive company and employee information
- Assist with special projects and additional duties as assigned
Skills & Qualifications
- Experience with QBO required; ADP Workforce Now preferred
- Strong attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines
- Working knowledge of Accounts Payable and Accounts Receivable processes
- Advanced proficiency in Microsoft Excel (required)
- Strong communication and organizational skills
- Ability to follow established processes and maintain confidentiality
