Job Summary: We are seeking a detail-oriented and proactive administrative professional to support the compliance department of a vertically integrated commercial cannabis company. This role will support regulatory licensing, filings, and compliance activities across cultivation, manufacturing, retail, and distribution operations.
The Compliance Admin follows a hybrid work arrangement with a minimum on-site requirement of three (3) days per week at our Camarillo location. Flexibility to work additional days on-site, as needed to meet operational and business requirements, is a condition of employment.
Responsibilities include preparing license applications, managing a comprehensive renewal schedule, maintaining accurate compliance records, coordinating regulatory filings, and frequent communication with regulatory agencies and internal stakeholders. This is a dynamic role with opportunities to take on additional administrative and compliance responsibilities as the team grows.
Key Responsibilities:
- Prepare, submit, and manage license applications and renewals for cultivation, manufacturing, retail, and distribution operations.
- Maintain organized and up-to-date records to ensure readiness for regulatory audits and inspections.
- Track the status of active licenses and regulatory filings; maintain a comprehensive licensing calendar with key deadlines and reminders.
- Incorporate regulatory updates from state and local authorities into internal databases and workflows in collaboration with the legal and compliance teams.
- Serve as a point of contact with licensing agencies, regulatory bodies, and internal departments.
- Coordinate with internal teams (e.g., Legal, Compliance, Operations, HR) to gather information required for licensing submissions and resolve deficiencies.
- Assist with documenting Standard Operating Procedures (SOPs) related to licensing and permitting processes.
- Assist with coordinating and documenting compliance trainings.
- Assist with research projects.
- Provide additional administrative and compliance support as needed.
Qualifications:
Required:
- 2 years of experience in an administrative or coordination role. Experience with licensing, permitting, or compliance processes is a plus, but not required.
- Exceptional attention to detail and strong organizational skills with the ability to manage multiple deadlines concurrently.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Adobe Acrobat Pro, and experience with document management systems (e.g., SharePoint or CLM platforms).
Preferred:
- Experience in the cannabis industry or other highly regulated industries.
- Familiarity with California state and local regulatory jurisdictions.
- Experience using online licensing portals or other electronic regulatory submission systems.
Additional Information:
- This role may require occasional travel to licensing agencies or company sites within California. A valid driver’s license and reliable transportation are preferred.
