Job Overview
We are seeking an energetic and detail-oriented Administrative Assistant to join our team. In this vital role, you will provide day-to-day administrative and operational support to both the Human Resources and Environmental, Health & Safety functions. This role ensures accurate recordkeeping, regulatory compliance support, and efficient coordination of HR processes and safety initiatives across multiple sites. The position requires a high level of organization, confidentiality, and the ability to manage competing priorities in a fast-paced environment.
HR Support Duties
- Maintain and organize employee personnel files in compliance with company policy and legal requirements
- Assist with onboarding and offboarding processes (new hire paperwork, system entry, exit documentation)
- Coordinate interviews, schedule meetings, and support recruitment activities
- Track attendance, disciplinary actions, and HR-related documentation
- Assist with payroll preparation by collecting and verifying supporting documentation (time-off forms, approvals, etc.)
- Respond to employee inquiries and route issues appropriately
- Support HR projects, reporting, and audits
EHS (Environmental, Health & Safety) Support
- Maintain safety records, training logs, and compliance documentation (e.g., OSHA logs, incident reports)
- Assist with scheduling and tracking required safety trainings and certifications
- Support incident reporting and investigation documentation
- Monitor and follow up on safety action items and corrective measures
- Help coordinate site inspections and audits
- Ensure proper filing and retention of EHS documentation
Experience
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Basic understanding of HR processes and/or safety compliance preferred
Education & Experience
- High school diploma required; Associate’s or Bachelor’s degree preferred (HR, Business, or related field)
- 2 years of administrative experience, preferably in HR, safety, or operations environment
- Experience in multi-site or industrial environment is a plus

Pay: $20.00 - $22.00 per hour
