We are currently looking for a proactive and detail-oriented Office Manager & Accounting Specialist to join our US subsidiary.
Reporting directly to the US Country Manager, this role is responsible for ensuring the efficient day-to-day management of our accounting, administrative and office operations while supporting the continued growth of the business in close collaboration with our Global Finance team.
Main Responsibilities
This is a hands-on role that combines accounting, administration and office management responsibilities, playing a vital part in supporting the day-to-day operations of our Miami office. You will work closely with both the local team and our Global Finance department, ensuring efficient financial processes while helping to create a well-organized and productive workplace.
- Manage the day-to-day accounting activities, ensuring financial records are accurate and up to date.
- Process accounts payable and accounts receivable, including invoicing, collections and payment follow-up.
- Perform bank, customer and supplier reconciliations and support month-end closing activities.
- Maintain accounting records within the ERP system, including journal entries, fixed assets and master data.
- Coordinate supplier payments, banking transactions and foreign currency operations.
- Monitor sales orders, customer billing and pricing updates to ensure data accuracy.
- Support inventory reconciliations and operational controls.
- Coordinate purchase orders and follow up on inbound shipments and customs documentation.
- Manage relationships with suppliers and external service providers, resolving administrative and financial queries.
- Oversee general office operations, including travel arrangements, office supplies, facilities and local services.
- Prepare regular reports and provide administrative support to Finance, Sales and HR teams.
- Contribute to process improvements and support local business initiatives and compliance activities.
What we're looking for
- Bachelor's degree in Accounting, Finance, Business Administration or a related field.
- 3 years of experience in accounting, finance or office management.
- Strong knowledge of accounting principles and financial administration.
- Experience working with ERP systems (Microsoft Business Central is a plus).
- Proficiency in Microsoft Excel and Microsoft Office.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and work independently.
- A proactive mindset with strong problem-solving skills.
- Professional fluency in English. Spanish is a plus.
