Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment, providing essential administrative support across various departments. Prior office management, clerical, and customer service experience are highly valued, along with proficiency in tools such as Microsoft Office, Google Workspace, and QuickBooks. The position is paid and suitable for individuals with strong organizational and time management skills who thrive in fast-paced settings.

Responsibilities

  • Greets and assists residents, family and visitors
  • Maintain documents, updates paperwork, and assists with employee record keeping
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Orientation for new employees
  • Manages marketing and calendars for residents and staff
  • Answers and directs phone calls and emails
  • Organizes schedules and events
  • Coordinate calendar management, scheduling appointments, meetings, and events efficiently
  • Attends all required training, in-service, and staff meetings
  • Support office management tasks such as supply ordering, inventory tracking, and maintaining office equipment
  • Maintains a positive and professional demeanor toward residents, visitors, families, and co-workers
  • Display an attitude of courtesy and respect for all residents, families, and staff
  • Provide exceptional customer service by responding promptly to inquiries via phone or email
  • Maintain confidentiality of sensitive information and adhere to company policies

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent typing speed and accuracy for data entry and document preparation
  • Knowledge of office management procedures and clerical best practices
  • Exceptional phone etiquette and customer support skills across multi-line phone systems
  • Experience with QuickBooks or bookkeeping software is a plus
  • Strong proofreading skills to ensure error-free documents
  • Ability to handle multiple responsibilities simultaneously with effective time management
  • Prior experience in administrative roles such as office assistant, receptionist, or personal assistant is desirable
  • Familiarity with medical receptionist duties is an advantage
