Role Description This is an entry level, full-time, in-person in-office role for a Personal Injury Case Manager Assistant (Bilingual English/Spanish). The assistant supports personal injury case managers by communicating with clients in English and Spanish, gathering case details, and providing updates throughout the claim process. Daily responsibilities include coordinating medical appointments, obtaining records and bills, organizing case files, and tracking key deadlines. The role also involves documenting communications, preparing basic case summaries, assisting with demand package preparation, and following up with medical providers, insurance adjusters, and other parties as directed. The ideal team member maintains a professional, empathetic approach, helps ensure accurate information flow, and contributes to consistent, organized case progression.
This specific role will be assisting the firm's Personal Injury Department with intake, property damage, and disbursements, along with other general assistance with the firm's pre-litigation case management.
Qualifications
- Strong bilingual communication skills in English and Spanish, with the ability to explain legal processes clearly and professionally to clients.
- Experience with case management, including organizing documents, tracking deadlines, and maintaining accurate records in digital systems.
- Attention to detail and basic administrative skills, such as data entry, document formatting, and managing calendars and follow-up tasks.
- Must have a strong work ethic and problem solving skills.
- Customer service and client-facing skills, including empathy, patience, and the ability to handle sensitive information confidentially.
- Familiarity with personal injury or civil litigation processes (e.g., medical treatment coordination, insurance claims, intake, property damage) is preferred.
- Comfort using legal or practice management software, cloud-based tools, and standard office applications, especially Filevine, is preferred.
- Ability to work independently in an office environment, manage priorities, and communicate proactively with supervising attorneys and case managers.
- Prior experience in a law firm, medical office, or insurance-related setting is beneficial
