Essential Job Functions

DHS Accounting
- Orders and pays for office and related supplies for the department, processes, monitors, and tracks purchase requisitions.
- Processes monthly departmental bills and prepares them for payment timely and accurately. Utilizes state prescribed systems and billing software to process claims and obtain reimbursement for expenses.
- Responsible for accounts receivable functions, including processing daily payments from customers and providers, completing spreadsheets, processing grant repayments, and entering cash payments into the appropriate financial systems.
- Reviews fiscal source documentation for completeness, mathematical accuracy, proper authorizations, sufficiency of information and proper account combinations.
- Allocate, reconcile, and report monthly department purchase card expense reports, verify receipts and related backup documentation for accuracy and compliance with county and state policies and procedures.
- Utilize QuickBooks to record deposits, disburse approved funds, and reconcile bank statements for fiduciary accounts and complete required fiscal reporting.
- Prepares and enters monthly, quarterly, and annual accounting entries in various systems and creates financial reports.
- Conducts finance related training for new employees, mentors and coaches employees on finance processes and procedures.
- Respond to vendor and/or employee questions regarding financial transactions and order inquiries.
- Respond to requests for expenditure reviews from various auditors and state and county staff. Prepares and submits applicable documentation and answers questions.
- Provides support to DHS Finance staff, cross train for backup and coverage purposes.
- Review, create, and enter routine journal entries into financial systems.
- May assist with cross-divisional or department-wide projects and initiatives as needed.
