We’re seeking a proactive and detail-oriented Operations Coordinator to join our Business Operations team. This role plays a vital part in supporting both internal operations and client-facing activities.
Key Responsibilities
- Provide administrative support across client projects as assigned by management
- Field and respond to phone and email inquiries, primarily from pharmaceutical sales representatives
- Assist representatives with navigating internal systems and tools
- Review daily expense submissions and develop audit reports
- Research state licensing requirements and prepare applications on behalf of clients
- Maintain compliance hotlines and validate client website links
- Manage executive calendars and coordinate travel and meeting logistics
- Monitor and order office supplies
- Greet and direct office visitors
- Review documents prior to client distribution
- Support MLR Committee administrative needs, including system updates and change facilitation
- Prepare agendas, track follow-up items, and respond to internal/external requests
- Compile and submit FDA and state-level compliance reports
- Complete other special projects as assigned by management
Qualifications
Required:
- Bachelor's degree (4-year degree required)
- Strong multitasking and organizational skills
- Excellent verbal and written communication skills
- High attention to detail and accuracy
- Ability to adapt to shifting priorities and manage deadlines
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Proficient in Google Workspace (Docs, Sheets, Drive, etc.)
- Strong internet research skills
- Comfortable working with all levels of management, clients, and vendors
- Friendly, professional demeanor and team-oriented mindset
Preferred:
- At least 1 year of customer service or administrative experience
This position offers a base salary range of $40,000 - $45,000 annually, commensurate with experience and qualifications.
