Summary:
The Accounting Coordinator will assist with bookkeeping, payroll, invoicing, financial reporting, and audit preparation. This part-time position that reports directly to the Executive Director plays a key role in maintaining the accuracy and integrity of the organization’s financial records.
Essential Duties and Responsibilities:
1. Maintain accurate bookkeeping records for multiple bank accounts, including reconciliations and journal entries.
2. Process weekly payroll duties in coordination with the Executive Director, ensuring compliance and accuracy.
3. Prepare and send invoices to customers on a weekly and monthly basis.
4. Manage accounts payable and receivable, ensuring timely payments and accurate recordkeeping.
5. Prepare monthly financial reporting materials for internal review and the Finance/Audit Committee.
6. Assist with audit preparation, providing requested documents and support to external auditors.
7. Compile and present financial reports to the Executive Director and Finance/Audit Committee, offering insights based on financial data.
8. Support the Executive Director in annual budgeting and monthly forecasting processes.
9. Maintain organized financial files, records, and supporting documentation for grants, invoices, and payroll.
10. Collaborate with the Executive Director and leadership team to strengthen financial procedures and ensure transparency.
11. Present themselves and Fulfillment House in a positive and professional manner while working and when in the community.
12. Complete approved annual training as required.
13. Abide by OSHA Compliance.
14. Complete other duties as assigned.

Qualifications:
v Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field. (Bachelor’s preferred; CPA or equivalent experience is a plus.)
v Prior accounting, bookkeeping, or payroll experience, ideally 3–5 years. Experience in a fulfillment or industrial operation is a plus.
v Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, PowerPoint).
v Strong organizational skills, attention to detail, and ability to prioritize tasks in a part-time role.
v Experience preparing financial reports, supporting audits, and assisting with budgeting/forecasting.
v Ability to maintain confidentiality and handle sensitive financial information.
v Experience working collaboratively with executive leadership, staff, and board members.
v Familiarity with payroll processes, invoicing, accounts payable/receivable, and bank reconciliations.
v Experience working with individuals who have special needs.
v Ability to use digital office equipment (Printers, copiers, scanners, etc.)
v Ability to adhere to regulations and standards.
v Experience working positively and effectively with the public.
