We are dedicated to building and nurturing an inclusive and equitable environment for all students, staff, and stakeholders.Position Objective: This role requires a proactive and solution-oriented approach to problem-solving, ensuring that tasks are completed without disruption to the schools operations.

In addition, the Administrative Assistant will facilitate cross-functional collaboration, working closely with various departments, staff, and stakeholders to ensure seamless communication, coordination, and execution of school activities. By fostering strong relationships and maintaining a flexible, collaborative approach, the Administrative Assistant will play a key role in supporting the Principal and ensuring the smooth and effective functioning of the school.Responsibilities: Coordinate and manage the Principals calendar, scheduling meetings, events, and appointments in a timely and organized manner Schedule and arrange all meetings for the Principal, ensuring that attendees are informed and preparedCoordinate and manage the building calendar and Building Use Form process. Coordinate with the district calendarDraft, proofread, and send internal and external correspondence, including memos, letters, and reports.Maintain an organized filing system for both physical and electronic records, ensuring easy retrieval of documents as neededPrepare and confirm payroll, weeklyOversee process for field trips and school bus booking.Coordinate graduation ceremonies with the administration and senior advisors, including the ordering of diplomasHandle all incoming communications (calls, emails, and mail), respond promptly, and forward important information to the PrincipalAssist with organizing school events such as staff meetings, parent-teacher conferences, school council meetings, and community eventsPrepare and distribute meeting agendas, materials, and presentations in advance of events.Serve as a liaison between the Principal, students, and parents, answering general inquiries, scheduling appointments, and addressing concernsHandle sensitive and confidential information with the utmost discretion, ensuring that private matters are not disclosed without proper authorizationHelp manage staff schedules, substitute teacher arrangements, and other administrative tasks that support the functioning of the school through the absence maintenance systemAssist with the tracking of budgets and expenses for school activities, including supplies, events, and student-related costs. Complete all purchase orders for the schoolOrder office supplies, equipment, and materials needed for the schools operations.Provide administrative support for other school staff, including preparing documents, answering queries, and directing them to the appropriate resourcesManage the front desk or office reception, greeting visitors, answering the phone, and directing inquiries appropriatelyAssist in communicating facility needs or issues (e.g., maintenance or repairs) with appropriate departmentsHelp ensure that school policies, procedures, and regulations are followedMaintain accurate documentation of policy changes, updates, and procedures for easy referenceComplete other tasks as assigned by the PrincipalOther Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.

REQUIRED QUALIFICATIONS: Minimum Associates DegreeSecretarial/Office Administration experienceStrong Microsoft Office Skills and Google Suite applicationsWorking knowledge of spreadsheets is necessaryAttention to details and ability to manage multiple tasksKnowledge of Aspen preferred Knowledge of other platforms including Unipay, Thrillshare, Tyler, and Aesop/Frontline preferredGood written and verbal communication skillsRequires ability to maintain confidentialityAbility to work without constant supervisionAbility to work under the stresses of interruption and varying schedulesAbility to work well with staff, students, and parents/guardiansExperience in a school district is desirableSocial/Civic Expectations: Freetown-Lakeville students and staff will: practice responsible citizenship; respect self and others; accept responsibility; and work cooperatively.Preferred Qualifications: 1. Bachelors Degree2.

Experience as a secretary in a school setting3. Knowledge of SIS system, preferably AspenSalary & Terms of Employment: In accordance with the Freetown-Lakeville Regional School District Educators Association contract. Employment is contingent upon job performance, program needs, and funding. This is a school year position.
