In addition, the Administrative Assistant will facilitate cross-functional collaboration, working closely with various departments, staff, and stakeholders to ensure seamless communication, coordination, and execution of school activities. By fostering strong relationships and maintaining a flexible, collaborative approach, the Administrative Assistant will play a key role in supporting the Principal and ensuring the smooth and effective functioning of the school.Responsibilities: Coordinate and manage the Principals calendar, scheduling meetings, events, and appointments in a timely and organized manner Schedule and arrange all meetings for the Principal, ensuring that attendees are informed and preparedCoordinate and manage the building calendar and Building Use Form process. Coordinate with the district calendarDraft, proofread, and send internal and external correspondence, including memos, letters, and reports.Maintain an organized filing system for both physical and electronic records, ensuring easy retrieval of documents as neededPrepare and confirm payroll, weeklyOversee process for field trips and school bus booking.Coordinate graduation ceremonies with the administration and senior advisors, including the ordering of diplomasHandle all incoming communications (calls, emails, and mail), respond promptly, and forward important information to the PrincipalAssist with organizing school events such as staff meetings, parent-teacher conferences, school council meetings, and community eventsPrepare and distribute meeting agendas, materials, and presentations in advance of events.Serve as a liaison between the Principal, students, and parents, answering general inquiries, scheduling appointments, and addressing concernsHandle sensitive and confidential information with the utmost discretion, ensuring that private matters are not disclosed without proper authorizationHelp manage staff schedules, substitute teacher arrangements, and other administrative tasks that support the functioning of the school through the absence maintenance systemAssist with the tracking of budgets and expenses for school activities, including supplies, events, and student-related costs.
