An exciting opportunity has arisen within Radiology for an enthusiastic, self-motivated and hard-working experienced Clerk Receptionist to join our admin team.
Main duties of the job
The primary focus of the role is to provide reception services across the RVI and Freeman hospital Radiology desks. Duties include but are not limited to the timely checking in and out of patients for appointments, playing an active role in a high volume call queue and administrative preparation of clinics across the service.

- Check in both inpatient and outpatient appointments using the RIS system.
- Arrange patient transport as required.
- Maintain awareness of CapMan and monitor patients waiting for porter assistance.
- Adhere to confidentiality standards, including Caldicott principles and GDPR requirements.
- Report incidents, risks, or concerns through the Inphase system.
- Ensure waiting areas are clean, safe, and well organised.
- Communicate effectively with porters, transport teams, ward staff, radiographers, and patients.
- Update patient information accurately within eRecord.
- Print daily lists, checklists, and safety questionnaires for clinical teams.
- Sort incoming departmental mail and ensure prompt internal distribution.
- Deliver mail to the post room as required.
- Handle telephone enquiries for the X ray department, directing calls to the appropriate teams when necessary.
- Register imaging requests and allocate the correct vetting and reporting groups for each examination.
- Prioritise Cancer Waiting Times (CWT) and urgent patient requests.
- Record eGFR results within the relevant requests.
- Check that the referring department is appropriate and correctly recorded.
- Produce DNA letters and send them to the relevant referring clinician or GP.
- Send imaging reports to GPs and referrers when required.
- Book appointments for plain film X ray examinations.
- Remove 6 week breach risks from GP initiated X ray requests.
- To support the provision of an effective and efficient delivery of a 24-hour Main Reception alongside an Outpatient service across the organisation, ensuring that a high quality of customer care and service provision is delivered to all service users.
- Takes responsibility for the timely completion of all outpatient admin services.
- Ensure that hospital visitors and general public are directed correctly thus helping to provide support for patient care.
- Provide an efficient and sensitive reception service to all users applying a high level of customer care skills.
- Make and receive telephone calls to respond to public enquiries
- Ensure that all areas are kept clean and tidy at all times.
Qualifications & Education
Essential criteria
- NVQ Level 2 in appropriate subject or equivalent qualification / experience

- Understanding of confidentiality issues
- Previous reception/clerical experience
- Previous customer care experience
- Previous NHS experience
- Awareness of Health and Safety within your environment
- Telephone experience

- Good literacy and numeracy skills which will be assessed as part of the recruitment process
- Ability to communicate with members of the public, all staff and health care providers.
- Good organisational Skills
- Ability to work effectively as part of the multi-disciplinary team.
