Your Role: Accounts Payable Specialist

 Fountain Services is currently seeking motivated Accounts Payable Specialist to join our accounting team. This position is responsible for day-to-day accounts payable, with additional support to the Staff Accountant on other accounting tasks as needed.

Key Responsibilities 

• Enter and code all vendor invoices accurately and timely, including proper job, cost code, and general ledger coding.
• Route invoices to the appropriate approvers and follow up on outstanding approvals.
• Reconcile vendor statements, research discrepancies, and resolve missing invoices, credits, and billing issues.
• Enter and code company credit card transactions and collect supporting receipts and documentation.
• Monitor payment due dates, prepare and issue checks, and process ACH payments in accordance with established approval procedures.
• Communicate with vendors, project managers, and other departments to resolve questions and keep invoices and payments moving.
• Maintain vendor records, insurance documentation, W-9s, and supporting records.
• Follow established payment controls and vendor banking verification procedures.
• Assist with month-end AP reconciliation and year-end 1099 preparation.
• Maintain organized and accurate accounting records.
• Provide additional support to the Accounting team with miscellaneous accounting tasks and projects as needed.

Skills and Qualifications

• At least two years of accounts payable or related accounting experience preferred.
• Construction accounting experience, including familiarity with job costing, strongly preferred.
• Experience with Sage 300 CRE preferred.
• Working knowledge of Microsoft Excel and accounting software.
• Strong attention to detail, organization, and time management.
• Ability to manage a high volume of invoices and competing deadlines.
• Clear, professional communication and a proactive approach to resolving issues.
• Ability to handle confidential financial information with discretion.
• Associate degree in accounting or a related field preferred; relevant experience will also be considered.
