We are currently seeking a Full-Time Escrow Support Assistant 5-7 years of Escrow experience for our Chula Vista office. Spanish speaking highly preferred.
Job Summary:
The Escrow Support Assistant will support the Escrow Officers in the efficient processing of real estate transactions. They will assist with the preparation and management of escrow documents, ensuring accuracy and compliance throughout the escrow process. This role requires excellent communication skills, a strong understanding of escrow procedures, and the ability to work in a fast-paced environment.
Responsibilities:
1. Document Preparation and Management:
o Assist in preparing and reviewing escrow documents for accuracy and completeness.
o Ensure all necessary documentation is included and properly signed.
o Manage and organize electronic escrow files.
2. Transaction Coordination:
o Open and set up new escrow files, including obtaining pertinent information from clients and other parties.
o Coordinate with clients, lenders, real estate agents, and other parties involved in the transaction to gather required information and documentation.
o Monitor and follow up on the progress of transactions to ensure timely closings.
3. Communication:
o Serve as a point of contact for clients, providing updates and responding to inquiries promptly and professionally.
o Communicate with all parties involved in the transaction to facilitate a smooth and efficient process.
o Address any issues or discrepancies that arise during the escrow process.
4. Compliance and Accuracy:
o Ensure all escrow procedures are followed in compliance with state and federal regulations.
o Maintain strict confidentiality of all client information.
o Perform quality control checks to ensure the accuracy of all documents and data entered.
5. Administrative Support:
o Provide general administrative support to escrow officers, including scheduling appointments, managing calendars, and handling correspondence.
o Assist with the preparation of closing statements and disbursements.
o Perform data entry and maintain accurate records within SoftPro.
Qualifications:
· Previous experience in an escrow assistant role or related field is highly desirable.
· Proficiency in MS Office (Word, Excel, Outlook) and familiarity with escrow management software.
· Strong organizational and multitasking skills.
· Excellent written and verbal communication skills.
· Attention to detail and a high level of accuracy.
· Ability to work independently and collaboratively in a team environment.
· Knowledge of escrow procedures, real estate transactions, and relevant legal regulations.
