The Document Control Specialist supports the successful delivery of a major healthcare renovation project by managing, organizing, and maintaining project documentation across the design and construction lifecycle. This role ensures that drawings, specifications, submittals, RFIs, and project correspondence are accurately tracked and distributed in accordance with project procedures and regulatory requirements.
Key Responsibilities
Document Management
- Maintain the project Electronic Document Management System (EDMS) for all construction and design documentation.
- Track and manage incoming and outgoing documents including:
- Construction drawings
- Specifications
- RFIs
- Submittals
- Meeting minutes
- Change orders
- Project correspondence
- Ensure version control and accurate document numbering across all project records.
- Support the construction team by managing document workflows between owners, designers, contractors, and consultants.
- Maintain document logs and ensure timely responses to RFIs and submittals.
- Assist project managers with documentation required for approvals, permitting, and inspections.
- Maintain documentation related to phased construction within an active hospital environment.
- Ensure compliance with healthcare regulatory documentation requirements.
- Coordinate documentation for infection control risk assessments (ICRA), shutdown procedures, and hospital operational constraints.
- Generate document control reports including:
- RFI logs
- Submittal registers
- Drawing revision logs
- Document transmittal records
- Support project leadership with document tracking and compliance reporting.
- 5–8 years of document control experience on construction or infrastructure projects
- Experience working with electronic document management systems
- SharePoint (proficient level)
- Familiarity with construction documentation including RFIs, submittals, and drawings
- Strong organizational and records management skills
- Excellent communication and coordination abilities
- Experience on healthcare construction projects or hospital renovations
- Experience supporting large capital construction projects ($50M+)
- Familiarity with construction software such as:
- SharePoint (proficient level)
- P6 (beginner level)
- Experience working with public agencies or healthcare systems
Work Environment
- The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is regularly exposed to moving machinery & mechanical parts, uneven ground, exposure to dust, gas or fumes, exposure to loud noise, and outside weather conditions.
- The physical requirements must be met by an employee to successfully perform the essential functions of this job. Intermittent unassisted sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, stooping, crawling, pushing and lifting is required. Must be able to walk and/or stand for prolonged periods of time for at least eight hours per day. The employee must frequently lift and/or move light equipment up to 50 pounds without assistance. Must be alert to equipment in the field, occasional need to work near hazardous equipment and machinery, ability to walk on uneven ground while physically maneuvering construction sites, ability to work in extreme temperatures or humidity, and potentially work at heights.
- Possession of a valid state of residence driver's license with a clean driving record.
- Daily travel to and from construction sites, generally within 100 miles from the home office is expected. Short term, out of town, assignments may be required. Long term, out of town, assignments may be required, with advance notice of planned dates.
- May be required to work protracted and irregular hours to meet client's needs, including nights, overtime and weekends.
