Transportation & Compliance Coordinator

Location: La Grange, NC, 28551

Position Summary

The Transportation & Compliance Coordinator is responsible for coordinating, dispatching, monitoring, and supporting the compliance requirements associated with Foss Recycling Inc.'s daily transportation operations. Based in the La Grange office, this position supports the coordination and dispatching of more than 100 trucks per day across Foss Recycling's multiple locations, customers, vendors, and transportation routes.

This position combines daily dispatch operations with transportation compliance coordination, ensuring that transportation activities are organized efficiently, safely, accurately, and in accordance with applicable regulations and company policies. The coordinator works closely with drivers, yard managers, maintenance, safety personnel, customers, and company leadership to maintain accurate transportation records, monitor compliance documentation, address operational issues, and help prevent service disruptions and regulatory violations.

The successful candidate must be highly organized, detail-oriented, proactive, and capable of managing competing priorities in a fast-paced environment while demonstrating Foss Recycling's core values.

Essential Duties and Responsibilities

1. Compliance Coordination

Transportation Regulatory Compliance

  • Coordinate and monitor transportation compliance documentation in accordance with applicable federal and state requirements.
  • Assist in maintaining current driver qualification documentation, commercial driver's license information, medical certification records, and other required driver documentation, as applicable.
  • Track expiration dates and renewal requirements for applicable driver credentials, permits, registrations, and vehicle documentation.
  • Coordinate with management and safety personnel to identify missing, expired, or incomplete records.
  • Help ensure transportation assignments consider applicable hours-of-service limitations and other relevant operating requirements.
  • Maintain organized records for compliance reviews, audits, inspections, and internal reporting.
  • Promptly report potential compliance violations or concerns to the appropriate manager.
  • Assist with corrective actions and follow-up documentation when compliance deficiencies are identified.

Driver and Vehicle Documentation

  • Maintain or coordinate access to current transportation records for company drivers and vehicles, according to assigned responsibilities.
  • Track required documentation for trucks, trailers, registrations, inspections, insurance records, and other applicable requirements.
  • Coordinate with the maintenance department regarding vehicle inspection documentation, maintenance-related restrictions, and equipment availability.
  • Help verify that required documentation is completed, received, and filed appropriately.
  • Maintain a tracking system for upcoming renewals, missing records, and outstanding compliance items.
  • Ensure records are maintained securely and made available to authorized personnel when needed.

Compliance Monitoring and Reporting

  • Develop and maintain compliance tracking logs, spreadsheets, calendars, and reports.
  • Provide management with regular updates regarding outstanding documentation, approaching expiration dates, and unresolved compliance issues.
  • Coordinate follow-up with drivers, managers, and other responsible personnel to obtain missing information.
  • Assist with preparing documentation for regulatory inquiries, internal reviews, and company audits.
  • Identify recurring documentation problems and recommend process improvements.
  • Escalate significant compliance concerns promptly rather than allowing unresolved issues to continue.

Safety and Incident Documentation

  • Coordinate the collection and organization of transportation-related accident reports, inspection reports, and other incident documentation.
  • Communicate reported accidents, citations, roadside inspection findings, and potential violations to the appropriate safety or operations manager.
  • Assist with tracking corrective actions and required follow-up documentation.
  • Work with the Safety Department to support driver training records and applicable compliance requirements.
  • Help maintain clear records of incidents and corrective actions without independently making legal or regulatory determinations.

Compliance and Dispatch Integration

  • Incorporate compliance considerations into daily dispatch planning and truck assignments.
  • Communicate promptly with management when a driver, vehicle, or assignment may not meet applicable requirements.
  • Coordinate with the appropriate manager before assigning or returning a driver or vehicle to service when a compliance or safety restriction may apply.
  • Maintain accurate dispatch records that support transportation reporting and compliance documentation.
  • Balance efficient truck utilization with safety, regulatory requirements, and customer commitments.

Core Values and Conduct

  • Accountability & Integrity: Take ownership of dispatch assignments, compliance tracking, deadlines, and follow-up. Address errors promptly and ensure commitments are fulfilled.
  • Honesty: Maintain accurate records, communicate compliance concerns transparently, and never knowingly conceal missing documentation or potential violations.
  • Customer Service: Support reliable transportation service through timely communication, accurate scheduling, and prompt resolution of transportation problems.
  • Hard Work: Maintain consistent attention to detail while managing high-volume dispatch activity and ongoing compliance responsibilities.
  • Teamwork: Work collaboratively with drivers, yard managers, maintenance, safety personnel, customers, and leadership to maintain safe, compliant, and efficient transportation operations.

Key Performance Expectations

  • Accuracy and timeliness of daily dispatch operations.
  • Effective coordination of more than 100 daily truck movements.
  • Timely identification and follow-up of missing or expiring compliance documentation.
  • Accuracy and organization of transportation records.
  • Prompt communication of safety and compliance concerns.
  • Reduction of avoidable dispatch delays and documentation errors.
  • Effective coordination with yards, drivers, maintenance, safety, and management.
  • Consistent demonstration of Foss Recycling's core values.

Authority and Accountability

The Transportation & Compliance Coordinator is responsible for daily dispatch coordination, compliance record tracking, documentation follow-up, and communication of transportation-related concerns within the authority established by management. This position does not independently determine legal compliance, waive regulatory requirements, or authorize the use of drivers or vehicles when applicable restrictions prohibit operation. Compliance concerns requiring interpretation, corrective action, or authorization must be referred to the appropriate manager or designated compliance authority.

Overall Expectations

The Transportation & Compliance Coordinator plays a critical role in keeping Foss Recycling's transportation network moving safely, efficiently, and responsibly. The position requires balancing daily dispatch demands with accurate documentation, proactive compliance monitoring, strong communication, and accountability. Success means helping Foss Recycling meet customer commitments, support its drivers and facilities, control transportation costs, maintain accurate records, and identify potential problems before they become larger operational or compliance issues.

All duties must be performed in accordance with Foss Recycling policies, applicable laws and regulations, and the company's core values.
