Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate and plan company events, meetings, and conferences from start to finish, ensuring all logistics are handled seamlessly.
- Provide comprehensive executive administrative support including email correspondence, document proofreading, transcription, and data entry.
- Handle front desk responsibilities such as greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing calls efficiently.
- Maintain organized filing systems—both digital and physical—ensuring quick retrieval of documents and records.
- Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Support project coordination efforts by tracking deadlines, preparing reports, and liaising between teams to ensure timely completion of tasks.
- Use office management skills to oversee supply inventories, coordinate office maintenance needs, and improve overall operational efficiency.
Skills
- Proven experience in administrative support or office management roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
- Excellent typing skills combined with attention to detail for proofreading and transcription tasks.
- Experience with bookkeeping software such as QuickBooks along with basic data entry capabilities.
