The Office Support Assistant serves as a key point of contact for Forest Highlands members, employees, and the Leadership Team. This role ensures that inquiries from members, contractors, the public, and other external customers are addressed promptly and professionally through face-to-face interactions, phone calls, and written communication.
This position provides high-level administrative support to the General Manager and Chief Financial Officer (CFO) and plays an important role in maintaining efficient office operations while delivering excellent customer service.
This is a part-time position working approximately 25–30 hours per week.
Qualifications:Customer Service
- Greet members, guests, and visitors in a professional and welcoming manner
- Assess customer needs and provide information regarding club services, processes, and guidelines
- Respond to member and customer inquiries via phone, email, and in-person communication
- Draft, review, and distribute professional correspondence as needed
- Use discretion and sound judgment when handling confidential or sensitive information
Meeting and Event Management
- Coordinate Forest Highlands Foundation meetings and events from planning through completion
- Assist with scheduling, logistics, documentation, and communication related to meetings and events
Administrative and Clerical Support
- Create and maintain spreadsheets using advanced Excel functions to develop reports and data lists
- Manage ordering and maintenance of office equipment and supplies
- Sort and distribute incoming mail to appropriate recipients
- Develop communication materials and documents using Adobe and Microsoft Office programs
- Perform general administrative duties including filing, faxing, photocopying, scanning, and document organization

Minimum Requirements
- Associate’s Degree and/or two (2) years of experience in an administrative or customer service role
- Exceptional written and verbal communication skills
- Excellent typing and data entry skills
- High proficiency with Microsoft Word, Outlook, Excel, and PowerPoint
- Knowledge of Adobe design software is preferred
- Professional demeanor with strong face-to-face and telephone communication skills
- Proven ability to manage multiple projects simultaneously and collaborate across departments
- Strong customer service skills with a positive attitude and willingness to learn
- Excellent organizational, interpersonal, and time management skills
- High level of attention to detail
- Ability to learn and adapt to new software systems
- Flexibility to work evenings, weekends, and holidays as needed
- Prior experience or familiarity with golf club or HOA operations is a plus
Language Skills
Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Must be able to communicate effectively with members, management, vendors, suppliers, the general public, and other employees.
Mathematical Skills
Ability to perform basic mathematical functions including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals.
Reasoning Ability
Ability to apply common-sense understanding to carry out instructions provided in written, oral, or diagram form. Ability to resolve problems involving multiple variables in standardized situations.
Physical Demands & Work Environment
- Position is located in an open office environment within a private residential golf and country club community
- Ability to work in a busy office setting with multiple team members
- Must be able to lift up to 25 lbs regularly and up to 50 lbs occasionally
- Ability to walk, sit, stand, bend, kneel, crouch, and use hands for various tasks
- Ability to lift overhead and push/pull as needed
- Must be able to talk and hear continuously for communication purposes
- May occasionally be exposed to outdoor weather conditions, including low temperatures
