About the Role

The Invoicing Specialist plays a critical role in ensuring the accuracy, efficiency, and integrity of the company's billing operations. This position is responsible for the full lifecycle of customer invoicing; from preparation and issuance to discrepancy resolution and financial reporting. Core to this role is ensuring that pricing aligns with contractual agreements, resolving billing discrepancies, maintaining detailed billing records, responding to customer inquiries, and producing financial reports as requested. The ideal candidate brings sharp attention to detail, strong communication skills, and the ability to thrive independently in a fast-paced, deadline-driven environment.

Key Responsibilities

• Invoice Generation: Prepare and issue accurate, professional invoices to clients, ensuring timely delivery within established timeframes.
• Data Verification: Validate invoice details against the project management system to confirm correct pricing, terms, and billing conditions, maintaining strict adherence to internal timelines.
• Issue Resolution: Proactively identify, investigate, and resolve billing discrepancies — working both independently and collaboratively with clients and internal teams to reach timely, accurate outcomes.
• WIP Management & Monitoring: Post and monitor work-in-progress (WIP) on a daily basis to ensure precise tracking of revenue and billing status; identify and address variances promptly to maintain financial integrity.
• Project Monitoring: Conduct thorough reviews of closed projects to verify that all billable items have been posted and invoiced, revenue is properly recognized, and documentation is complete and compliant.
• Cross-Functional Support: Partner with other divisions to fulfill invoicing needs, ensuring consistency, accuracy, and alignment with established billing procedures across the organization.
• Accounts Receivable Support: Collaborate with the Accounts Receivable team to address client inquiries and assist with collections efforts in a timely and professional manner.
• Record Keeping: Maintain accurate, well-organized, and fully compliant billing records while consistently meeting fast-paced deadlines.

Essential Skills & Qualifications

• Technical Proficiency: Hands-on experience with accounting software (e.g., QuickBooks, SAP), Microsoft Excel, and ERP systems, paired with a high standard of data entry accuracy.
• Professional Skills: Exceptional attention to detail; strong written and verbal communication; effective problem-solving and organizational abilities; proven time management skills with the ability to work independently and meet tight deadlines without compromising quality.
• Experience: Prior experience in invoicing, billing, accounts receivable, or project-based accounting is required.
• Education: Associate degree with a concentration in Accounting, Finance, or a related field

Physical & Work Requirements

• Prolonged periods of sitting at a desk and working on a computer for documentation and reporting.

• Must be able to pass a background check.

Employment Contingency

Salary : $28 - $35
