FoodWhat?! is a youth empowerment and food justice organization in Santa Cruz County. At FoodWhat, young people cultivate resilience, leadership, and belonging through food and farming. Rooted in love, relationships, and community, we use land and food as tools for healing, skill-building, and transformation.
Who We Serve
We work in Santa Cruz County with high-school-aged, system-impacted and other struggling youth and program alumni. This includes youth who are: low-income, from farmworker families, experiencing mental health challenges, in the child welfare (foster care) system, housing insecure, food insecure, in the criminal justice system, identify as LGBTQIA , and young parentsall of whom experience challenges and are building resilience.
Role Summary
You will join our operations team to provide day-to-day administrative support to ensure smooth organizational functioning. This is a do-er role, helping with the execution of important monthly processes that keep a non-profit humming. You will support office operations, administrative and clerical tasks, basic IT coordination, while also providing logistical assistance to program and communications efforts.
Core Responsibilities
Administrative & Office Operations
- Serve as the primary point person for day-to-day admin management
- Manage mail and office phone
- Support with program material ordering when called on
- Coordinate meals for special gatherings or meetings
- Perform copying, filing, scanning, and general clerical support
- Run organizational errands, including mail and document delivery
- Provide additional administrative or clerical support as needed
- Event support at our major gatherings like the annual benefit and also for smaller events
- Mail merge project support from time to time
HR & Finance Support
- Support with the review and approval of monthly credit cards; manage receipt systems
- Process timesheets, mileage forms, reimbursements, and approvals
- Support onboarding and offboarding logistics via Bamboo and checklists
- Help coordinate the timely pick up signatures and mailing of youth checks, as well as other org check
Program & Data Support
- Support with youth intake and seasonal evaluation processing (adding data from paper surveys into Google Excel spreadsheets)
- Support with end-of-season packets (making cookbooks in Canva, printing certificates, ordering T-shirts)
- Support with printing and parking for FWs annual harvest festival and other youth gatherings/events
- Data input for youth clock in app
- Support using spreadsheet applications like AirTable
Information Technology Support
- Make small updates to the FoodWhat website as determined by Communications Team
- Monitor IT ticket system and escalate issues to Ops Lead when needed
- Set up email accounts, computers, and equipment for new hires
- Coordinate computer repairs and equipment returns
What You Bring (Qualifications)
Required Skills & Qualifications
- Valid California drivers license and ability to run local errands
- Strong organization, follow-through, and time management in a part-time role
- Experience providing general administrative and clerical support
- Ability to handle confidential HR, youth, and financial information with care
- Proficiency with Google Workspace (Drive, Docs, Sheets, Calendar) and Microsoft Office
- Comfort using Mac computers and learning new systems (e.g., Airtable)
- Clear written and verbal communication skills
Strongly Preferred
- Experience in a nonprofit or youth-serving organization
- Familiarity with Airtable or similar databases
- Experience with filing, and preparing e-signatures
- Experience coordinating meals
Nice to Have
- Spanish speaker
- Experience with Squarespace, Canva and MailChimp
- Familiarity with BambooHR or similar platforms
- Interest in food justice, youth empowerment, or community-based work
