Key Responsibilities
Grant Administration & Compliance
- Manage and administer multiple grant programs and funds on behalf of our client.
- Oversee grant expenditures, ensuring funds are used according to guidelines and deadlines.
- Conduct audits, review financial documentation, and verify compliance with grant requirements.
- Monitor subrecipient performance through on-site evaluations, reports, and regular communication.
- Prepare and submit grant invoices, reimbursements, progress reports, budget adjustments, and closeout reports.
- Maintain detailed and organized grant files, deadlines, contracts, correspondence, and supporting documents.
- Compile information needed for accurate reporting, payments, and project tracking.
- Provide technical assistance and guidance to subrecipients throughout the grant lifecycle.
- Respond accurately and promptly to inquiries, offering solutions or recommendations when needed.
- Track subrecipient progress and thoroughly document project milestones and completion.
- Support emergency response operations as needed, which may include 12-hour shifts (day, night, or weekends).
- Assist during statewide or regional activations requiring rapid response and minimal notice.
Education & Experience
- Bachelor’s degree in business, public administration, finance, or related field and 1 year of experience in grants management, public funds administration, accounting, or similar; OR
- 5 years of directly related experience; OR
- 1 year in a Grants Specialist 1–level role or equivalent.
- Equivalent combinations of education and experience may be considered.
- Strong organizational and task-prioritization skills.
- Clear, effective written and verbal communication abilities.
- Ability to interpret complex policies, laws, regulations, and grant guidelines.
- Intermediate proficiency in MS Word, Excel, and Access.
- Ability to analyze issues, identify solutions, and follow through to resolution.
- Experience working collaboratively and professionally within a team environment.
- Ability to travel overnight as needed.
- Experience with federal grant administration.
- Knowledge of federal and state grant policies and procedures.
- Experience providing technical assistance to subrecipients.
- Background in emergency management, planning, response, or recovery.
- Experience with budgeting, financial monitoring, and grant-related documentation.
- Familiarity with emerging technologies related to grants or program administration.
