SUMMARY

Performs administrative assistant duties in the high school by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. 

  • Composes, or transcribes from rough draft, correspondence, bulletins, memorandums, and other material.
  • Maintains the confidentiality of reports, records, and personal experiences regarding students, employees, and parents.
  • Type letters, forms, reports and other materials. 
  • Greets visitors to school, determines the nature of business, and directs visitors to their destination. 
  • Provide direct administrative support to the principal and assistant principals.
  • Maintain confidentiality of all sensitive information.
  • Coordinate schedules, meetings, and school events.
  • Facilitate clear communication between administration, staff, students, and families.
  • Manage school-wide communications, including announcements and notifications.
  • Responsible for posting media on social platforms and/or notifying parents of important information.
  • Support school events, including graduation, testing, and special programs. 
  • Talk with students encountering problems, assist to resolve problems or direct students to other staff for assistance. 
  • Answer telephone to provide information, take messages, or transfer calls. 
  • Maintains office management and directs inquiries to the appropriate staff member. 
  • Maintains a calendar of school events. 
  • Provides alternative coverage in office, classroom, and clinic.
  • Assist with assigning substitutes for staff that are absent, along with making recommendations for long term substitutes.
  • Assist with entering discipline referrals.
  • Other duties as assigned.

QUALIFICATIONS

Thorough knowledge of standard office practices, procedures, equipment and secretarial techniques along with business English, spelling and arithmetic. Ability to interpret and apply policies and procedures. Ability to type at a reasonable rate of speed (To be determined by administration). Ability to establish and maintain an effective working relationship with others and the ability to meet the public effectively. Strong organizational, human relations, and communications skills.  

 

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); School related experience preferred.

 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

CERTIFICATES, LICENSES, REGISTRATIONS

Valid Virginia Driver’s license

TERMS OF EMPLOYMENT

12 month contract.  Terms may vary based on the needs of the school and division.

 

EVALUATION  

Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
