Florida A&M University's Athletic Department is pleased to announce the acceptance of qualified applications for the Administrative Assistant vacancy.

Responsibilities

Provide administrative support to the Associate Vice President for Athletics, including calendar management, meeting coordination, travel arrangements, correspondence, document preparation, and follow-up on priorities; Provide administrative support for the Academic Performance and Excellence (APEX) initiative, student-athlete academic success efforts, special projects, and other strategic departmental initiatives; Assemble and analyze confidential information, prepares reports, internal and external communication documents and agendas; and perform clerical duties to include: maintain files and organize documents, ensure there is adequate office supplies for operational purposes.

Receive and appropriately route calls, correspondence, inquiries, requests, and visitors for the Department of Athletics; Assist with travel, expense documentation, purchasing, invoices, reimbursements, and other administrative and business processes; Support departmental meetings, retreats, professional development activities, student-athlete programs, special events, and staff onboarding; Provide professional and responsive service to student-athletes, coaches, staff, university leadership, campus partners, and external stakeholders; Provide leadership, organization, and technical experience to the Athletic Administration staff members; and assist with game day operations.

Possess ability to promote FAMU and the Athletics Department to students, parents, faculty and the general public; Must be personable, understanding and project a professional image with excellent leadership and communication skills to include awareness of social media etiquette and the ability to work with a multicultural student population; Adhere to all institutional, conference and NCAA rules and regulations; Employee is required to work outside of normal business hours (to include nights and weekends} based on team practice and competition schedule, athletics department schedule and other University events to meet the needs of the University; Perform other duties and special assignments as directed by the respective senior level administration; and some travel may be required.

Minimum Qualifications

A high school diploma and seven years of related experience; or a combination of post high school education and experience equal to seven years.

Knowledge of academic resources available to students;

Ability to communicate effectively, verbally and in writing;

Knowledge of and ability to interpret and apply related federal, state and local laws, ordinances, rules and regulations;

Knowledge of and the ability to interpret and apply related University policies, procedures, principles and practices;

Ability to represent the University in appointed areas as required;

Knowledge of the concept, principles and practices of management;

Ability to establish and maintain effective working relationships and confidentiality;

Knowledge of office practices, procedures and etiquette; and,

Ability to prioritize, organize and perform multiple work assignments simultaneously.

Pay Plan

This is an USPS (University Support Personnel System) position.

Conditions of Employment

Successful candidate is subject to a pre-employment screening which includes a review of criminal records, reference checks and verification of education. An official college transcript, a high school diploma, or other educational documents must be submitted, where applicable, at the time of employment.
