THE FIRST CONGREGATIONAL CHURCH IN AUBURN, MASS (FCCA)
Church Secretary / Administrative Assistant
Reports to: FCCA Board of Trustees
Part-time - 25 hours per week
Monday thru Friday - 9:30 am to 2:30 pm
The Church Secretary should possess exceptional people skills, multi-tasking abilities, and a welcoming spirit to support our congregation’s ministries as we grow. Must have a high value of warm, inclusive hospitality and the ability to set boundaries as well as a reverence for Christian faith and practice in community.
Key Responsibilities:
Administration:
Manage the office, order supplies, and maintain church office filing systems.
Communication:
Answer phone calls, generate and respond to emails, direct inquiries to appropriate party
Greet visitors professionally with a welcoming presence
Provide accurate information about church services and activities
Publications:
Prepare, print, distribute: worship bulletins, newsletters, announcements, Annual Report
Scheduling:
Maintain the church calendar and coordinate building/room usage for meetings/events.
Record Keeping:
Maintain accurate, up-to-date church databases with membership records, including contact information and membership roles, attendance, and visitor logs.
Process new membership/baptism/wedding applications and updates
Maintain up to date Church Leadership Directory
Supporting Leadership:
Assist the pastor and church committees with reports, correspondence, meeting preparation, and other administrative tasks
Assist with planning and logistics for church events (weddings, funerals, special services)
Send out invitations and managing RSVPs
Monitor signing in/out keys
Qualifications and Skills:
Customer Service: A positive welcoming attitude and commitment to providing excellent service
Communication: Excellent verbal and written communication skills. Ability to interact effectively with church members, staff, and visitors, via email, phone and in person.
Organization: Strong organizational skills, ability to multitask and manage multiple deadlines.
Flexibility: Efficient time management and the ability to adjust to changing schedules and priorities based on church activities
Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, Publisher), email, and social media tools.
Attention to detail: Ensure accuracy in communications as well as maintaining records and documents
Confidentiality: Ability to manage sensitive information with discretion.
Marketing: Coordinate marketing social events to the wider community in many forms including social media
Experience: Previous administrative or office management experience (1–5 years preferred).
Physical Requirements: Consistent and reliable, on-site attendance is an essential function of this position. Ability to use office equipment (copiers, computers) and lift items up to 20 lbs.
Performance: Reviewed annually by FCCA Board of Trustees, or more frequently if needed.
Other: All other duties as assigned
