Position Summary
The Accounts Payable and Payroll Specialist is responsible for processing and maintaining accurate financial records related to vendor payments, employee payroll, and related reporting. This role ensures compliance with company policies, accounting standards and federal/state regulations while supporting smooth day-to-day financial operations.
Key Responsibilities:
- Process semi-monthly payroll accurately and on time, including wage calculations, deductions, and benefits.
- Ensure compliance with federal, state, and local payroll regulations.
- Maintain employee payroll records and respond to payroll-related inquiries.
- Prepare and submit payroll tax filings and other required reports.
- Process accounts payable invoices, expense reports, and credit card transactions.
- Verify invoice accuracy, proper authorization, and coding to general ledger accounts.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Prepare checks, ACH payments, and related documentation.
- Maintain accurate records of all A/P and payroll transactions.
- Assist with month-end and year-end closing activities, including accruals and reporting.
- Collaborate with HR and Accounting to ensure accurate data flow between systems.
- Support annual audits by providing requested documentation and explanations.
Qualifications:
- Associate’s degree in Accounting, Finance, or related field (Bachelor’s preferred).
- 2 years of experience in payroll and/or accounts payable.
- Strong knowledge of payroll processing systems (e.g., ADP preferred), accounting software (e.g., Microsoft dynamics preferred).
- Understanding of payroll laws and tax regulations.
- Excellent attention to detail, accuracy, and organizational skills.
- Strong communication and problem-solving abilities.
- Proficient in Microsoft Excel and other Office applications.
