Summary:
Petro Services, Inc. operates Daily’s, Mountain Energy, and Shell-branded convenience and retail fuel sites across Florida and North Carolina. This role provides administrative support to HR leadership and serves as a point of contact for employee inquiries. Additionally collaborates with Operations, Payroll, and multi-level managers to reinforce policy consistency. Discretion and professional integrity are essential as duties involve confidential personnel data.
Essential Functions:
- Serve as a point of contact for basic employee inquiries related to benefits, policies, procedures, and general HR matters, escalating complex issues as needed.
- Complete employment verification requests in a timely and accurate manner.
- Support the Recruitment and Training Coordinator with ATS administration and troubleshooting, e.g. job postings, requisition updates, and candidate status management.
- Support candidates and store management throughout the hiring process, providing timely and accurate guidance.
- Assist with new hire onboarding, documentation, and employee file maintenance.
- Maintain current, accurate employee records via internal document repositories and HRIS.
- Monitor and distribute candidate pre-hire drug screen results.
- Support operations compliance with federal, state, and local employment regulations.
- Process and submit routine employment reports to federal and state agencies.
- Run scheduled and ad hoc reports capturing various HR metrics to support operational decision-making.
- Maintain current knowledge of USCIS guidance/Federal Register Notices related to employment eligibility.
- Support ongoing learning initiatives and policy review for all business units.
- Assist in coordination of employee meetings.
- Review employee incident reports and assist with processing associated Workers’ Compensation claims.
- Support additional HR, Operations, and Payroll functions as assigned.
- Consistently operate with integrity, exercise sound judgement, and practice behavior that is ethical, honest, and professional.
Minimum Qualifications:
- 18 years of age
- BA/BS in related field; equivalent education plus experience may be considered
- 2 years of administrative or HR support, preferably in a multi-unit retail or service-based environment
- Valid Driver License and ability to drive independently
- Professional demeanor; versatile written and verbal communication skills
- Meticulous attention to detail and data accuracy
- General computer proficiency, including Microsoft Office Suite and email platforms
- Familiarity with ATS and HRIS/HCM systems
- Fundamental knowledge of employment laws and HR best practices
- Basic reporting or data analysis experience related to hiring and training metrics
- Adaptable and willing to learn new platforms and processes
- Must pass a pre-hire drug screen, background, and MVR
Physical & Mental Requirements:
- Sophisticated verbal and written communication in English; effectively hear, speak, read, and write
- Adept at conducting simultaneous projects, including timely communication with applicable parties
- Sufficient close visual acuity to accurately perform reading and typing functions on standard computer systems
- Ability to manage time efficiently and execute assignments under minimal supervision
- Interpersonal aptitude; must effectively collaborate with vendors and company personnel of all levels
- Refined analytical and organizational skills; ability to adapt in a multi-task, multi-location environment with fluctuating priorities
- Ability to drive independently
Work Environment:
- Responsibilities are primarily performed in a traditional office setting
- Requires independent travel to field locations and off-site functions
- Duties executed outside of corporate HQ may involve inclement weather and unforeseeable conditions
