Duties

- Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and organizing deliveries
- Perform data entry, filing, and document proofreading to maintain accurate records and support office documentation needs
- Utilize Office management tools such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to create reports, spreadsheets, and correspondence
- Assist with calendar management and appointment scheduling for staff and executives
- Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, data entry, and basic bookkeeping software like QuickBooks
- Exceptional phone etiquette with experience managing multi-line phone systems in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Previous experience as a receptionist or personal assistant is preferred; experience in medical or dental reception is a plus
- Ability to handle confidential information discreetly while maintaining professionalism at all times
- Demonstrated attention to detail with proofreading skills and accuracy in documentation
