We are currently seeking an experienced Administrative Assistant at our corporate office in Chico, CA. About Trees is family-oriented company and takes pride in providing quality tress service and excellent customer service to our local communities.
Job Summary
We are seeking an Administrative Assistant / Receptionist to join our team. You will work directly with our office staff to ensure all administrative tasks are efficiently and effectively implemented. The ideal candidate MUST be extremely organized, well spoken, professional in their appearance and have a strong attention to detail. Knowledge of Microsoft Office, QuickBooks and Google Suite are necessary to perform office duties.
The ability to multi-task and work in a fast-paced environment is key.
Responsibilities and Duties
- Answer multiple phone line system with a high volume of calls responding with professionalism
- Scheduling estimate appointments
- Data entry & e-mail of estimates
- Assist and communicate with all division and department managers requests as needed
- Creating and maintaining reports
- Filing, scanning, copying and faxing various documents
- Coordinating/Communicating with Operations
- Ensure office is kept clean and organized
- Write and distribute emails, letters, faxes and forms
- Other duties as assigned
Qualifications and Skills
Minimum Requirements:
- High School Diploma, required
- Minimum 2 yr of Admin experience, required
- Associates Degree, a plus
Knowledge & Skills:
- Knowledge of computer systems, applications and standard computer equipment (Word/Excel/Outlook/Google Suite)
- Excellent customer service and a positive attitude is a must to help maintain a pleasant experience for clients
- Good interpersonal skills to maintain effective rapport both internally and externally to achieve the goals of the organization
- Self-motivated
- Must work well under high pressure and be able to manage stressful situations
- Effective verbal skills to communicate with clients, managers and staff
- Able to adapt to office policy improvements
- Willing to work a varied and flexible schedule
- Exceptional ability to recognize and prioritize workload
- Ability to stay on task with minimal supervision
- Sensitivity to the needs of culturally and linguistically diverse client and employee population
- Must be able to accept travel assignments to various sites as required
