Position Overview
The Receptionist plays a critical role in creating a positive customer experience from the moment someone walks in or calls. This position supports daily front-office operations, assists with vehicle intake, and coordinates communication between customers, estimators, and insurance partners.
Duties
- Greet visitors warmly and direct them appropriately, maintaining a friendly and professional front desk presence
- Manage multi-line phone systems, screen calls, take messages, and transfer calls with excellent phone etiquette
- Handle incoming correspondence, emails, and inquiries promptly and professionally
- Maintain accurate records through data entry, filing, and document proofreading to ensure information integrity
- Utilize Office management tools such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
- Assist with calendar management, appointment scheduling, and meeting coordination for staff members
- Perform clerical duties including photocopying, faxing, mailing, and organizing office supplies to support efficient operations
Experience
- Proven office experience or administrative support background in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office applications and Google Workspace tools
- Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to serve diverse client needs
- Previous experience as a dental or medical receptionist is advantageous but not required
- Demonstrated customer service skills with a friendly demeanor and professional communication style
- Knowledge of front desk procedures, multi-line phone systems, and office management best practices
Key Responsibilities
- Greet customers professionally in person and by phone
- Answer and route incoming calls in a courteous and timely manner
- Collect and verify customer and vehicle information
- Assist with tow-in and walk-in vehicle intake
- Schedule estimate appointments and update calendars
- Complete intake forms and maintain organized customer files
- Communicate clearly with estimators regarding new assignments
- Provide basic guidance to customers regarding the repair process
- Maintain a clean, organized front office area
- Support administrative tasks as needed
