Job Summary
We are seeking a highly organized and detail-oriented Accounting Office Administrator to oversee daily office operations within our dynamic organization. The ideal candidate will manage financial processes, coordinate administrative tasks, and support team functions to ensure smooth and efficient office management. This role requires excellent communication, organizational skills, and proficiency in various office management tools and accounting software.
Duties are below but not limited to:
- Oversee accounts payable and receivable, ensuring timely processing of invoices and payments.
- Utilize QuickBooks for financial data entry, reporting, and reconciliation.
- Coordinate scheduling, calendar management, and appointment setting for staff and executives.
- Supervise administrative staff and oversee office management tasks including filing, front desk operations, and multi-line phone systems.
- Plan and organize company events and meetings to promote team engagement.
- Handle vendor relations to maintain positive partnerships and ensure supply chain efficiency.
- Maintain compliance with office policies related to medical office management when applicable.
- Support front desk duties including phone etiquette, greeting visitors, and managing correspondence.
- Data gathering, client communication and engagement.
Skills
- Proven experience in office administration with strong clerical and organizational skills.
- Proficiency in QuickBooks accounting software.
- Experience in event planning, vendor management, human resources, payroll, budgeting, bookkeeping, and office management.
- Excellent communication skills with professional phone etiquette.
- Strong schedule management abilities with calendar coordination expertise.
- Supervising experience with team management capabilities.
- Familiarity with accounting office management is a plus.
- Ability to handle filing systems efficiently and manage multi-line phone systems effectively.

Job Types: Full-time, Part-time
Pay: $24.68 - $29.73 per hour
