As a Project Assistant, you’ll provide vital administrative support across multiple construction projects. You’ll work closely with Project Managers, Engineers, and Field Staff to ensure the timely flow of documentation and information.
Key Responsibilities:
Reviewing and issuing contracts and change orders through CMiC and DocuSign.
Requesting, tracking, and reviewing certificates of insurance and other required administrative paperwork from subcontractors and vendors.
Processing submittals, including creation, distribution, and tracking.
Issuing and managing Construction Bulletins, Requests for Owner (RFOs), and plan/specification updates.
Supporting project closeout activities, including punch lists, O&M manuals, and warranty documentation.
Communicating with architects, vendors, and internal teams.
Organizing and maintaining project documentation (digital and physical files).
Assisting with general administrative tasks such as correspondence, downloading and distributing plans, and supporting the Project Team in the field and office.
Qualifications:
Excels at communication, time management, and adapting to different personalities and work styles.
Detail-oriented, efficient, and capable of working both independently and collaboratively.
Ability to adjust schedule when needed to accommodate high-priority items.
Demonstrates strong organizational and multi-tasking skills.
Proactive mindset to problem-solving and a willingness to support wherever needed.
Prior administrative experience — construction background is a plus, but not required.
