Our client, a Financial Planning Firm, is seeking a highly organized, proactive, and adaptable Executive Personal Assistant to support a fast-paced Financial Advisor and business owner. This role is ideal for a self-starter who thrives in a dynamic environment where priorities shift quickly and no two days look the same.
This position requires a high level of discretion, attention to detail, and the ability to anticipate needs before they arise. The role will encompass both professional and personal support, with a strong focus on ensuring the executive’s day-to-day operations run seamlessly.
Key Responsibilities:
Personal Assistant Responsibilities (Primary Focus)
- Manage executive’s calendar, scheduling, and daily priorities
- Coordinate meetings, appointments, and travel arrangements
- Travel planning including detailed itineraries for business and personal trips
- Proactively review and manage emails and communications
- Anticipate needs and ensure the executive is prepared for all meetings and events
- Handle personal errands, tasks, and household coordination as needed
- Assist with health, wellness, and lifestyle tracking (e.g., meal planning, logs)
- Manage personal appointments, family scheduling, and special requests
- Coordinate gifts, special events, and personal milestones
- Oversee vehicle maintenance, errands, and routine personal logistics
Executive Assistant Responsibilities
- Manage daily administrative operations, tasks, and special projects
- Prepare documents, reports, and meeting materials as needed
- Attend meetings, take notes, and provide summaries or action items
- Handle business-related errands including deposits, ordering supplies, and research
- Maintain organization of office spaces, supplies, and shared resources
- Coordinate and execute team events, lunches, and company gatherings
- Track and manage receipts and assist with expense organization
- Assist with marketing initiatives and SOP development as needed
- Support office operations including vendor coordination, maintenance, and organization
- Plan and execute team celebrations, outings, and internal events
- Ongoing organization and optimization of systems and processes
- Coordination with team members, vendors, and external partners
- Miscellaneous tasks and projects as assigned
