Role Summary
The Trust Manager / RCM Manager will oversee high-volume patient payment posting operations and manage the team responsible for processing daily payment files, batches, and transaction activity. This role is focused on people leadership, training, troubleshooting, workflow management, and operational execution rather than accounting. The position will support a Trust / Payment Posting team handling thousands of transactions through internal systems and Excel-based workflows.
Team Structure
The Trust / Payment Posting team includes approximately 30 employees and 2 supervisors. The team consists of onsite payment posters, remote employees, nearshore support, and hybrid employees in another office location. This manager will operate as a hands-on player/coach, providing leadership, training support, issue resolution, workflow oversight, and daily operational support.
Core Responsibilities
• Manage daily trust and payment posting operations, including payment files, batches, transaction processing, and workflow execution.
• Lead, coach, train, and support supervisors, payment posters, and team members across onsite, remote, hybrid, and nearshore groups.
• Oversee high-volume patient payment transaction processing, including specialized file work and daily file intake.
• Monitor daily payment files, including pre-processing and specialized files handled by designated team members.
• Research and resolve payment posting issues, file discrepancies, processing errors, and workflow delays.
• Establish, monitor, and improve workflows to support accuracy, timeliness, compliance, and operational consistency.
• Analyze team performance metrics and support achievement of departmental KPIs.
• Develop and maintain SOPs, training guidance, and process documentation.
• Review escalated payment issues and complex discrepancies through resolution.
• Partner with Finance, Compliance, IT, Operations, and internal leadership on audits, system improvements, process redesign, and operational initiatives.
• Prepare operational updates, trend analysis, and performance reporting for leadership.
Required Experience
• Management experience leading teams, supervisors, or high-volume operations groups.
• Experience overseeing payment files, payment posting, financial transaction processing, RCM operations, or related back-office transaction workflows.
• Strong people leadership experience; accounting background is not required.
• Ability to train, coach, troubleshoot, and operate as a hands-on player/coach.
• Experience managing large-volume daily work queues, transaction batches, or production-based workflows.
• Strong Excel skills, including file manipulation and working with data.
• Ability to work 100% onsite in Indianapolis.
• Self-motivated, organized, and comfortable operating without a dedicated training department.
Preferred Experience
• Healthcare RCM, patient payment posting, trust operations, or financial services operations experience.
• Experience leading audits, process redesign, system conversions, or operational improvement initiatives.
• Experience managing distributed teams, including remote, hybrid, or nearshore employees.
• Advanced Excel skills, including reporting, data analysis, and file manipulation.
