Role Summary
As the Talent Experience Operations Specialist you will play a critical role on our strategic and evolving HR team. The Specialist partners closely with the Talent Experience (HR) team, the Global Head of HR, and the Chief Operating Officer to manage and enhance HR programs, systems, and operational workflows.
In This Role, You Will….
Partner With The Broader Talent Experience Team, Including
- The Talent Experience (HR) Business Partners
- Serve as the primary owner of all employee lifecycle data integrity within Oracle HCM, ensuring the accuracy of new hires, job changes, terminations, compensation adjustments, and employee demographic updates.
- Lead the HR Records Management Program, including following retention programs, audit readiness, and oversight of active and archived employee files.
- Oversee organizational compliance with federal and state requirements, including I-9 employment verification, E-Verify audits, and documentation standards.
- Manage and continuously improve the Tuition Reimbursement Program, including policy interpretation, vendor coordination, and communication strategy.
- Manage the company intranet (LENS) for Talent Experience by keeping it up to date with the information for all HR related topics.
- Coordinate HR morale/recognition programs and activities such as Tickets at Work, employee perks and museum tickets program.
- Oversee TEBP Team inbox
- Manage termination checklists
- Other duties as assigned
- Oversee all aspects of new hire onboarding in the Jobvite ATS and Oracle HCM, with a goal to ensure a smooth and positive experience for new hires and hiring teams
- Evaluate and select vendors for background checks, drug screening, and onboarding tools; oversee service quality and escalate issues as needed.
- Work with Temporary Staffing Agency to transition temporary employees to full time employment.
- Facilitate New Hire Orientation as part of a rotation, ensuring consistent messaging, compliance, and a strong introduction to the organization.
- Partner closely with Talent Acquisition to enhance recruiting workflows and candidate experience, including sourcing and screening candidates, scheduling interviews, drafting offer letters, reporting and other related projects, for both manufacturing/production and corporate hiring needs as needed
- Manage travel program by setting up new travelers, removing those who leave, answering travel-related questions, assisting with bookings (both travel and guest), handling company setup in Egencia (categories, policy, preferred hotels), reconciling travel and Uber cards monthly, and addressing any issues with Egencia or our contact.
- Plan and coordinate arrangements for small and large team meetings, events and celebrations, including communication to teams and ordering and arranging for meals.
- Plan, coordinate and ensure the Executives’ schedules are followed and respected.
- Partner closely and effectively to keep the Executives well informed of upcoming commitments and responsibilities, following up appropriately.
- Execute administrative processes including vendor setup and approvals, submitting P.O.’s for approval, running of reports, etc.
- Provide back-up support for other Executives to cover for administrative assistants and receptionist who are out of the office.
- Support the Chief Operating Officer & Global Head of HR with Administrative projects, expenses and travel as requested.
- Provide HR Support to the GIVE Committee.
- Maintain monthly budget reconciliation reports for VP Global HR.
- 3-5 years in an Administrative Project Management or Human Resources support role
- strong analytical capability, sound decision-making, and the ability to independently evaluate processes, recommend improvements, and implement solutions that impact the organization.
- Ability to self-manage effectively to keep track of multiple assignments and appropriately prioritize day-to-day work across a number of areas of HR with proven ability to meet deadlines
- Proactively use available resources to produce the best quality work while contributing ideas and investigating new ways to achieve continuous improvement.
- Keen ability to solve problems and understand “the big picture”.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Working understanding of human resources principles, practices and procedures.
- Ability to act with integrity, professionalism, and confidentiality
- Spanish speaking preferred

Salary : $70,000 - $80,000
