The Administrative Secretary for the Academic Advisement Center (AAC) provides administrative and operational support to the Director while managing the front office operations of the unit. This role serves as the first point of contact for visitors and telephone inquiries, ensuring a welcoming, student-centered experience. The position is responsible for tracking and maintaining information for reports, appointments, budgets, and other administrative functions, as well as coordinating meetings, events, and related documentation. The Administrative Secretary works closely with the Director to support systems such as the Starfish Student Success Platform and contributes to the overall effectiveness of advising services.

Essential Functions

Administrative Support & Office Operations

  • Provide administrative support to the Director, including document preparation, report generation, data tracking, and coordination of office procedures.
  • Manage front office operations, ensuring efficient workflows and organized recordkeeping systems.
  • Track and maintain information related to appointments, reports, budgets, and administrative processes.
  • Coordinate and distribute meeting minutes and related documentation.

Front Desk & Student Services

  • Serve as the first point of contact for all visitors and telephone inquiries, delivering professional, courteous, and student-centered service.
  • Create a welcoming, kind, and inclusive environment for students and campus visitors.
  • Respond to inquiries, and direct visitors to the appropriate resources within the Academic Advisement Center and the College.

Advisement Systems & Scheduling Support

  • Support appointment coordination and scheduling for advising services.
  • Work with the Director to manage and maintain the Starfish Student Success Platform.
  • Maintain accuracy of student service data and assist with system-related processes.

Event & Meeting Coordination

  • Coordinate logistics for meetings, special events, and receptions, including scheduling, materials preparation, and communication.
  • Prepare, track, and distribute minutes and event-related documentation.

Data Management & Reporting

  • Maintain and update records, reports, and tracking systems to support office operations and analysis.
  • Assist in compiling data for reports and administrative review.

Job Requirements

Minimum Qualifications:

  • Associate's degree required.
  • 1-3 years of administrative or office support experience.

Preferred Qualifications

  • Bachelor's degree preferred.
  • Experience working in a higher education or student services environment.
  • Familiarity with student success platforms (e.g., Starfish or similar systems).

Knowledge, Skills, & Abilities

  • Strong organizational skills, including experience developing or maintaining office procedures.
  • Excellent customer service skills; professional, courteous, tactful, and responsive in telephone and email communications.
  • Ability to thrive in a fast-paced, dynamic, and demanding office environment.

Additional Information

Please note all offers of employment are contingent upon successful completion of the background check process.

Salary

Salary: $59,288.33 per year

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $59,288.33 per year with step increments per Salary Schedule 90, after one year of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.

Physical Requirements And Work Environment

The working conditions for this position will be primarily in an office space. The physical requirement for this position will require constant sitting, occasional standing, occasional bending, occasional walking, constant repetitive motions, constant use of hands to feel objects, and occasionally lifting 10 lbs. or less.
