Job Summary

We are seeking a warm, friendly, and organized Childcare Center Receptionist / Secretary to the Center Director to join our our community of dedicated early childhood educators and care givers. You will serve as the welcoming face of our center, greeting families, teachers, service providers, vendors and applicants. You will respond to incoming calls by providing timely and accurate information to parents and prospective families or redirecting calls to the appropriate staff member. You will help supervisors navigate the classroom schedule for the second part of the day, and provide short coverage breaks in classrooms with children between 6 months - 6 years old. You will work closely with the Center Director to provide exceptional clerical support, including, communicating with vendors to report IT issues and needed repairs, drafting center announcements, creating spreadsheets and internal forms; familiarity with the Outlooks Office Suite is a must, and familiarity with basic graphic design programs such as Canva or Gimp preferred. Your demeanor will help foster a warm environment for children, families, staff, and visitors alike. Duties

  • Greet visitors, parents, children, and staff with professionalism and warmth, ensuring positive first impressions
  • Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently and courteously
  • Maintain accurate records through data entry, filing, and document proofreading using Microsoft Office tools
  • Support event planning activities such as parent meetings, community events, and staff training sessions
  • Handle calendar management for the Center Director using Microsoft Outlook Calendar and other scheduling tools
  • Assist with transcription and proofreading of correspondence, reports, and newsletters to ensure clarity and professionalism
  • Use office management skills to while providing support to the Center Director
  • Maintain center security by controlling access and signing in guests and visitors

Qualifications

  • Proven clerical and secretarial experience in a busy office environment or childcare setting with excellent organizational skills
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook), (Gmail, Calendar), data entry systems, and basic graphic design and website maintanence
  • Experience with clerical tasks including filing, transcription, proofreading, and document management, and scheduling
  • Exceptional customer service skills with a professional phone manner and positive attitude
  • Ability to manage multiple priorities efficiently in a fast-paced environment with keen attention to detail
  • Familiarity with office equipment including multi-line phone systems and office printers/scanners
  • Personal assistant experience is highly desirable
  • Knowledge of event planning and project coordination is a plus
  • Able to meet the physical requirements of supervising young children
  • Lift, carry, and move children weighing up to 50 lbs.
  • Stand and sit for extended periods of time

Pay: $17.00 - $20.00 per hour

Expected hours: 35.0 – 40.0 per week

Education:

  • High school or equivalent (Preferred)

Experience:

  • Secretarial or Receptionist: 1 year (Preferred)
