The Office Manager/ Front Desk Receptionist is the first point of contact for everyone visiting or calling Family Ties. The Office Manager provides a high level of customer service to all callers, visitors, and staff, greeting each in a pleasant, professional, and helpful manner. The Office Manager/ Front Desk Receptionist answers the telephone, directs calls, and relays messages. S/he checks the agency’s main e-mail account on an hourly basis, forwarding referrals and other communications as appropriate in a timely manner. The Office Manager must possess a positive disposition and the ability to multitask.

Family Ties provides intensive, home-based assessment, counseling and community integration services for families and children. Our mission is to assist families in the skill and resource development necessary to safely maintain children in their home. Our philosophy is that each family has the ability to address any situation they may face. We believe that with proper support, education and encouragement, families can establish goals and a value base that will guide them in their development.
Responsibilities
- Greet all visitors and create a hospitable environment
- Answer main telephone line, direct calls and relay messages, ensuring callers speak with a person versus an automated voicemail greeting
- Check main e-mail account hourly and forward referrals and other time-sensitive communications, as appropriate
- Maintain office-wide calendar, notifying colleagues of potential conference room and swing space conflicts, reserve conference rooms on other floors as necessary
- Coordinate luncheon/catering needs
- Ensure printer is operational and well stocked with paper
- Track, order, and stock office/kitchen supplies, as needed
- Other administrative duties (FedEx requests, filing, etc.) as assigned
- Bachelor’s degree, or at least 3 years of prior receptionist/office assistant experience
- Familiarity with mental health services, social work, medical offices, etc.
- Strong organizational skills and the ability to multitask
- Detail oriented, highly reliable and accountable
- Excellent verbal and written communication skills
- Demonstrated knowledge of and sensitivity to diverse cultures

Salary : $35,000 - $40,000
