ABOUT THE ROLE
We're looking for a high-performing Office Manager/Treatment Coordinator to lead the patient experience and daily operations of our growing dental practice. This is a leadership role built for someone who holds a high bar, coaches from the front, and takes genuine pride in how patients experience care.
You will oversee day to day operations at the office — building a strong team, driving treatment acceptance, and ensuring every patient interaction reflects the warmth, professionalism, and quality this practice is known for.
WHAT YOU'LL OWN
Office Leadership
– Assist the owner and leadership team in leading, coaching, and developing the front-office team to deliver a patient experience that stands apart
– Oversee daily scheduling, patient flow, and check-in/check-out operations
– Provide real-time guidance to keep clinic days smooth and productive
– Hold the team to a high standard of organization, professionalism, and accountability
Patient Experience
– Own the patient journey from first contact through completion of care
– Set and model the standard for how patients are greeted, communicated with, and cared for
– Anticipate needs before they're voiced — and ensure patients leave not just satisfied, but genuinely impressed
Treatment & Financial Coordination
– Ensure treatment plans and financial options are communicated clearly and consistently
– Coach team members to guide patients confidently through treatment acceptance
– Maintain strong working knowledge of insurance and financial processes
– Monitor case acceptance and identify opportunities to improve patient follow-through
Team Development & Accountability
– Develop team members through direct coaching, honest feedback, and proactive performance management
– Address both wins and concerns professionally — building a culture that is positive, accountable, and genuinely team-oriented
Practice Performance
– Maintain an efficient, productive clinical schedule
– Ensure consistent follow-through on unscheduled treatment and patient communications
– Surface operational trends, challenges, and opportunities to leadership
WHAT WE'RE LOOKING FOR
– Experience leading a dental front-office team (preferred)
– Strong leadership presence with a high bar for team performance
– Excellent communication skills and emotional intelligence
– Highly organized with sharp attention to detail
– Comfortable in a fast-paced, team-oriented environment
– Familiarity with dental insurance and treatment coordination (preferred)
– A genuine passion for hospitality-level patient care

BENEFITS
– A miminum of 24 hours, Monday through Wednesday in our Franklin location. Ideally this candidate would also work Thursday's in our Lebanon location as a Treatment Coordinator. Occassional Friday hours may also be available.
