The Front Desk & Administrative Coordinator serves as the first point of contact for visitors, residents, and callers, delivering a positive, customer-focused experience while supporting daily office operations. This role combines reception duties with administrative support, including calendar management, scheduling, and property support tasks, to ensure smooth daily operations.
· Welcome and direct all visitors, residents, and callers with a professional, customer-focused approach.
· Answer, screen, and transfer calls; provide accurate information when possible.
· Coordinate resident and office calendars, scheduling and assisting with community events.
· Receive, sort, and distribute mail, packages, and documentation.
· Maintain and update spreadsheets, records, and databases as needed.
· Receive and record maintenance requests and work orders.
· Collect and record rent payments; issue receipts and maintain accurate transaction logs.
· Provide administrative support to staff and assist residents with property management applications.
· Ensure the front desk and lobby area remain organized, professional, and welcoming.
· Manage the office supply room; monitor inventory and purchase office supplies as needed.
· Oversee office equipment such as copiers, fax machines, and postage/mail machines; coordinate maintenance and repairs as needed.
· Work with and schedule vendors to troubleshoot or service office equipment.
· Assist with onboarding new employees by providing orientation to office procedures and equipment.
· Support leadership team as needed.
· High school diploma or equivalent required; associate degree or equivalent preferred.
· Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), including calendar management and scheduling tools.
· Solid data entry and keyboarding skills with attention to accuracy.
· Excellent communication, customer service, and interpersonal skills.
· Ability to maintain professionalism, confidentiality, and a positive presence.
